Full Job Description

I. Summary Description:

Reporting to the Office Administrator, the Administrative Assistant Receptionist serves as the primary face and voice of the organization. This position is responsible for managing front desk operations while providing administrative and operational support to ensure efficient daily business activities. The Administrative Assistant Receptionist maintains a professional office environment, coordinates communications, supports internal departments, and delivers exceptional service to visitors, clients, vendors, and employees.

II. Functional Duties:

Functional Duties include but are not limited to the following:

Greet, welcome, and announce clients, vendors, job candidates, and visitors in a professional and courteous manner.
Direct visitors to appropriate meeting locations and notify employees of visitor arrivals.
Maintain visitor sign-in procedures, issue guest badges, and support office security protocols.
Ensure reception, lobby, kitchen, and common areas are organized and presentable.
Answer, screen, and route incoming telephone calls using a multi-line phone system.
Monitor and respond to general company email inquiries and route communications to appropriate departments.
Take and distribute accurate messages in a timely manner.
Receive, sort, and distribute incoming mail, packages, and courier deliveries.
Prepare and coordinate outgoing mail, shipping requests, and certified correspondence.
Serve as a point of contact for office vendors, service providers, and building maintenance personnel.
Manage shared calendars, coordinate scheduling activities, and reserve conference rooms.
Perform data entry and maintain accurate records in company systems.
Scan, file, organize, and maintain physical and electronic documents.
Draft, proofread, and format correspondence, reports, meeting agendas, and other business documents.
Monitor office and kitchen supply inventories and coordinate replenishment requests.
Support departmental projects and administrative initiatives as assigned.
Ensure deliverables and performance expectations are met.
Perform other duties as assigned.

III. Required Skills and Qualifications:

Education:

High School Diploma or GED required.
Associate’s Degree or Bachelor’s Degree preferred.

Experience:

One (1) to three (3) years of experience in a receptionist, administrative assistant, customer service, or related office support role preferred.

Technical Skills:

Proficiency in Microsoft 365 applications including Outlook, Word, Excel, Teams, and related software.
Experience operating multi-line telephone systems and standard office equipment, including scanners, copiers, and postage systems.

Professional Skills:

Strong customer service orientation and professional demeanor.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Ability to prioritize responsibilities and maintain composure in a fast-paced environment.
Demonstrated attention to detail and accuracy.
Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
Reliable attendance and punctuality required.
Ability to work independently and collaboratively as part of a team.

Pay: $22.00 - $24.00 per hour
