The Role:
The Accounting Admin owns the company’s reporting and analysis function: automating the daily operating metrics leadership uses to run the business, producing periodic financial reporting, and supporting the pricing and rate decisions that drive profitability. This position is expected to grow into a larger leadership role within the accounting organization as they learn the business.
Core Responsibilities:
- Automate daily reporting. Build and maintain an automated daily report covering cash collected, invoices issued, quotes sent, and purchase orders opened, sourced from QuickBooks, Bigin CRM, and SharePoint.
- Produce periodic financial reporting. Deliver monthly, quarterly, and annual financial reporting on a predictable schedule.
- Explain results against plan. Each month, compare actual results to the budget, identify the largest gaps, and explain in plain language what caused them and whether they are one-time or ongoing.
- Analyze performance. Evaluate financial results, identify trends, and surface issues before they show up in the month-end close.
- Build forecasting models. Project revenue, expenses, cash, and capital needs.
- Recommend rate changes. Analyze market demand, labor cost, overhead, and utilization to recommend rate changes.
- Support budgeting. Partner with department leads to build the annual budget and monitor performance against it throughout the year.
- Track financial goals. Assist leadership in setting annual financial targets and report progress against them on a defined cadence.
- Guide decisions. Present findings and recommendations to the executive team in plain language, with a clear recommended action.
Growth Path: Accounting Leadership
This position is designed to expand. As the admin learns our business, the admin is expected to assist across the core functions of our accounting organization.
- Billing. Ensure invoices are issued accurately and on time.
- Accounts receivable. Monitor the A/R aging, confirm payment reminders are going out, and bring seriously past due accounts to leadership with a recommended course of action.
- Expenses. Review and help control company spending.
- Work authorization orders. Administer and track work authorizations from open to billing.
- Purchase orders. Own the purchase order process end to end. This covers any PO opened by our customers or a PO we open for our vendors.
- Process and team development. Improve how the accounting team works: tighten handoffs, reduce manual effort, and raise throughput.
Required Qualifications:
- Education: Bachelor’s degree in finance, accounting, economics, or a related field, or equivalent demonstrated experience.
- Experience: Two to five years in FP&A, or accounting. Experience in a project-based or job-cost environment such as engineering, manufacturing, or professional services is strongly preferred.
- Financial fundamentals: Working command of corporate financial statements, budgeting concepts, cost behavior, and the ability to explain why results differ from plan.
- Autonomy: Track record of managing their own workload: setting priorities, working toward goals, and finishing tasks without day-to-day direction.
- Communication: Able to explain financial results to non-financial leaders and defend a recommendation.
- Trajectory: Interest in professional growth and expanding their role within our organization.
- Must be authorized to work in the US.
- Successfully pass pre-employment background check and Non-DOT drug and alcohol tests.
- Subject to random Non-DOT drug and alcohol tests as a job requirement.
Tools and Systems:
- Accounting: QuickBooks. Experience with a job-cost accounting system is a plus.
- Spreadsheets and documents: Advanced Excel, including pivot tables, lookup and index functions, and model construction. Microsoft Word, Outlook, Teams, and SharePoint.
- Data and reporting: Power BI, Tableau, or a comparable reporting platform. Comfortable pulling data out of QuickBooks, Bigin CRM, and other systems and combining it into useful reports.
- CRM: Bigin, Zoho, or comparable CRM reporting experience is a plus.
Preferred Qualifications:
- Experience improving accounting functions through operational and process adjustments.
- Familiarity with aerospace or manufacturing operations, including work-in-process and inventory concepts.
- Experience automating recurring reports rather than producing them manually.
- CPA, CMA, or progress toward either.
What Success Looks Like:
- 30 days: Necessary data changes are implemented to support accounting reporting goals.
- 60 days: Daily report runs automatically and is trusted by leadership. Monthly reporting is delivered on a predictable schedule.
- 90 days: The A/R cycle is mapped end to end, with confirmation that invoices are going out on time, payment reminders are running consistently, and a defined escalation path exists for accounts that get far past due.
- 12 months: An annual budget is built collaboratively with department leads and actively monitored.

Pay: $75,000.00 - $95,000.00 per year
