Full Job Description

The Payroll & Accounts Payable Administrator supports payroll operations, accounts payable, certified payroll reporting, prevailing wage compliance, and benefits administration while ensuring accuracy, compliance, and exceptional customer service. This position works closely with Payroll, Finance, Human Resources, Project Management, and Operations to process payroll, maintain vendor payments, support certified payroll requirements, and assist with continuous process improvements.

This role partners closely with the Senior Payroll Administrator and will be cross-trained on certified payroll reporting to provide backup support as needed.

Payroll Administration

· Process weekly payroll accurately and on schedule.

· Maintain employee payroll records including pay rate changes, deductions, direct deposits, PTO, bonuses, commissions, retroactive adjustments, per diem, and other compensation.

· Review payroll for accuracy prior to processing.

· Research and resolve payroll discrepancies.

· Process off-cycle payrolls as needed.

· Maintain compliance with federal, state, and local payroll laws and wage and hour regulations.

· Assist with payroll year-end processing, including W-2 reconciliation.

· Respond to garnishment, child support, tax levy, and other withholding notices and return required documentation to the appropriate agencies.

· Assist with payroll reconciliations between B2W, Vista, and UKG to ensure payroll data is complete and accurate.

· Prepare payroll reports and reconciliations.

Certified Payroll & Prevailing Wage

· Assist with the preparation, review, and submission of certified payroll reports through Points North.

· Maintain supporting documentation for certified payroll reporting and prevailing wage compliance.

· Assist with prevailing wage job setup, classifications, and fringe calculations.

· Audit certified payroll information for completeness and accuracy.

· Coordinate with Project Managers regarding certified payroll requirements.

· Research prevailing wage determinations and contract requirements.

· Cross-train on certified payroll reporting and serve as backup when needed.

Accounts Payable

· Process vendor invoices accurately and timely.

· Match invoices to purchase orders and receiving documentation.

· Code invoices to the appropriate general ledger accounts.

· Prepare weekly check runs and electronic payments.

· Maintain vendor records and W-9 documentation.

· Reconcile vendor statements and resolve discrepancies.

· Process employee expense reimbursements.

· Assist with month-end close activities.

· Maintain organized accounts payable records.

Payroll Systems & Process Improvement

· Maintain employee information within UKG Ready.

· Support payroll integrations between UKG Ready, Vista, B2W, and Points North.

· Assist with payroll system testing and upgrades.

· Identify opportunities to improve payroll and accounts payable processes.

· Support the continued standardization and centralization of payroll processes.

Qualifications

Education

High School Diploma or GED required.
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, Human Resources, or related field preferred.

Experience

3–5 years of payroll experience required.
Accounts Payable experience preferred.
Certified payroll and prevailing wage experience preferred.
Construction payroll experience preferred.
Multi-state payroll experience preferred.
UKG Ready, Vista, and Points North experience preferred.
