Full Job Description

Position Summary

Conrad Fire Equipment is seeking a highly organized and detail-oriented Office Administrator to support the daily operations of the business. This role is responsible for managing accounts receivable, assisting with accounts payable, processing payroll, supporting human resources functions, and handling a variety of administrative and office management duties. The ideal candidate is dependable, proactive, and capable of managing multiple priorities while maintaining accuracy and professionalism.

Key Responsibilities

Accounts Receivable

Generate and distribute customer invoices accurately and timely
Monitor outstanding receivables and follow up on overdue accounts
Process customer payments and maintain accurate records
Reconcile customer accounts and resolve billing discrepancies

Payroll Administration

Process bi-weekly payroll accurately and on schedule
Maintain employee payroll records and deductions
Coordinate with payroll providers and address payroll-related questions

Accounts Payable

Review, code, and process vendor invoices
Ensure timely payment of approved invoices
Maintain vendor records and respond to vendor inquiries
Support management with expense tracking and reporting

Human Resources Support

Assist with employee onboarding and offboarding processes
Maintain personnel files and HR records
Coordinate benefits administration and employee enrollment activities
Assist with employee communications, policies, and compliance documentation

Office Administration & Miscellaneous Duties

Answer AP/AR related phone calls and correspondence
Manage office supplies
Prepare spreadsheets and business correspondence
Occasional support management with special projects and operational initiatives
Maintain confidential business and employee information
Provide general administrative support across departments as needed

Qualifications

3–7 years of administrative, accounting, bookkeeping, or office management experience
Associate’s degree in business administration, Accounting, Human Resources, or related field preferred
Experience with accounts receivable, accounts payable, payroll, and HR administration
Proficiency in Microsoft Office, particularly Excel, Outlook, and Word
Experience with accounting and payroll software preferred
Strong organizational, time management, and multitasking skills
Excellent written and verbal communication abilities
High level of accuracy, discretion, and attention to detail
Ability to work independently and collaboratively in a small business environment
