Job Summary
We are seeking a dynamic market-savvy Hotel Catering Coordinator to join our amazing team at a competitive pay rate starting at $20/HR and up DOE plus benefits (401k, PTO, Vacation, Holiday and Health Insurance) for Full-Time associates.
The schedule for this position is typically Tuesday - Saturday on a weekly basis.
The Hotel Catering Coordinator will support the catering and event sales team by managing the administrative and operational tasks associated with delivering exceptional catering experiences. This role serves as a key liaison between clients, the catering team, and other hotel departments, ensuring seamless communication, timely execution, and high levels of customer satisfaction. The ideal candidate is detail-oriented, organized, and possesses outstanding communication and multitasking skills.
Key Responsibilities
- Work directly with all sales managers on turnovers
- Event detailing - Both corporate and social
- In charge of running the weekly event packet, distributing the packet and being able to meet with the operations department to communicate and review all details
- Collecting payments
- Post event recaps with the clients
Client Coordination
- Serve as the primary point of contact for clients once contracts are signed.
- Assist in gathering event details such as menus, timelines, and room setups.
- Confirm event details and respond promptly to client inquiries.
Administrative Support
- Prepare event orders, contracts, and banquet event summaries accurately and on time.
- Manage the catering calendar, booking system, and ensure timely updates.
- Handle incoming calls, emails, and appointments for the catering sales team.
Event Planning Support
- Coordinate with various departments (culinary, banquet, audio-visual, housekeeping) to ensure accurate execution of events.
- Assist with creating floor plans, event diagrams, and service timelines.
- Attend pre-event meetings, provide on-site support during events, and assist with follow-up post-event.
Billing & Financial Tasks
- Create and process invoices, ensuring accurate billing.
- Follow up on deposits and outstanding balances according to hotel policies.
Sales Support
- Assist in preparing proposals, marketing materials, and presentations for potential clients.
- Maintain client databases, records, and track client preferences.
Guest Satisfaction
- Ensure the highest level of service is delivered by anticipating client needs and resolving issues promptly.
- Collect post-event feedback and assist in continuous improvement efforts.
Qualifications
Education
- High school diploma or equivalent required; a bachelor’s degree in Hospitality Management or related field is preferred.
Experience
- Minimum 1-2 years of experience in hotel catering, event planning or administrative support in event planning, or administrative support in hospitality.
Skills
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Experience with catering/event software (e.g., Delphi, Opera, or similar) is a plus.
- Ability to work under pressure and meet deadlines in a fast-paced environment.
