Full Job Description

The Client Services Manager is responsible for the daily leadership and operational management of the Client Services Department. This role supervises the Community Specialists, Customer Service Representatives, and Receptionist, ensuring exceptional service, operational consistency, and compliance with company standards.

Working closely with company leadership, the Client Services Manager coaches employees, resolves operational challenges, and drives departmental performance. This position is designed to develop ProActive's next Director of Client Services through demonstrated leadership, operational excellence, and alignment with our Core Values.

Primary Responsibilities

Department Operations

Oversee the daily workflow of the Client Services Department.
Ensure timely completion of all client service requests while maintaining quality and accuracy.
Monitor departmental workloads and redistribute assignments as necessary.
Ensure established service standards and response times are consistently achieved.
Escalate significant operational concerns to executive leadership as appropriate.

Team Leadership

Supervise Community Specialists, Customer Service Representatives, and Receptionist.
Provide daily coaching, guidance, and support.
Conduct regular one-on-one meetings focused on employee development and performance.
Assist with onboarding and training of new employees.
Foster a collaborative, positive, and accountable team environment.
Promote and model ProActive's Core Values in all interactions.
Identify employee development opportunities and provide coaching to improve employee performance.

Client Service Operations

Ensure the timely and accurate processing of:

Estoppels
Mortgage Questionnaires
Sale & Lease Applications
Architectural Review Applications
Registered Agent updates
Annual Reports
Owner and tenant information updates
Community mailings
Meeting notices
Incoming mail distribution
Ancillary charges
Required client follow-up activities

Compliance & Documentation

Ensure compliance with company policies and established departmental procedures.
Maintain SharePoint organization and filing standards.
Ensure community portals remain organized and current.
Verify owner and board information is accurate across all systems.
Ensure proper management of off-site association records.
Monitor adherence to departmental checklists and workflows.

Technology & Systems

Oversee the daily use of HomeWiseDocs, WelcomeLink, CINC, SharePoint, the Webex Phone System, Association Keys & Remotes, and Off-site Records Management by:

Training employees
Providing first-level support
Coordinating with IT vendors
Maintaining system documentation and user access

Training & Employee Development

· Train and coach Community Specialists and Customer Service Representatives.

· Conduct ongoing departmental training and cross-training.

· Assist employees with complex owner and board issues.

· Reinforce company procedures and Standard Operating Procedures.

Collaboration

Work collaboratively with the Director of Client Services, Director of Community Management, Director of Accounting, and Human Resources to resolve operational issues and improve service delivery.

Administrative Responsibilities

· Manage department schedules and PTO.

· Assist with hiring and onboarding.

· Monitor operational metrics and productivity.

· Support employee coaching and performance documentation.

Monitor department KPIs and implement corrective actions when performance falls below expectations.

Qualifications

· 3+ years of supervisory or leadership experience.

· Excellent customer service and communication skills.

· Strong organizational and problem-solving abilities.

· Proficiency in Microsoft 365.

· Experience with CINC, HomeWiseDocs, WelcomeLink, and SharePoint preferred.

· Community Association Management experience preferred.
