Job Summary
The Bookkeeping & Administrative Support Specialist provides in-office clerical, bookkeeping, and administrative support for the Greater Olean Area Chamber of Commerce. This role works closely with GOACC’s externally contracted bookkeeping resource team to assist with QuickBooks Online data entry, accounts receivable and aging, payment tracking, deposits, basic reporting, and related financial support tasks. In addition, this position acts as the Member point of contact for day to day finance related tasks and issues.
This position also assists with front desk/reception coverage as needed, including greeting visitors, answering phones, supporting retail sales, and fulfilling online orders. In addition, the position provides administrative and onsite support for GOACC events.
This is a part-time position requiring approximately 20-24 hours per week, with most hours scheduled during normal office hours. Some flexibility is required for pre-scheduled evening and weekend events.
Key Responsibilities
Bookkeeping & Financial Clerical Support
- Assist GOACC’s contracted bookkeeping resource team with light bookkeeping tasks and financial data entry.
- Enter and categorize transactions in QuickBooks Online as directed.
- Assist with recording payments, deposits, online sales, point-of-sale activity, and other routine financial transactions.
- Help organize and maintain financial records, receipts, invoices, reports, and supporting documentation.
- Assist with preparing deposits and reconciling basic payment activity, including cash, checks, credit card sales, and online orders.
- Support basic accounts receivable and accounts payable clerical tasks as needed.
- Communicate with the contracted bookkeeping resource team to help ensure timely and accurate recordkeeping.
- Communicate with GOACC Member Businesses regarding the status of their account, invoices, and payment methods.
- Maintain confidentiality and accuracy when handling financial, member, and Member/customer information.
Administrative Support
- Perform clerical tasks such as typing, copying, scanning, filing, mailing, and organizing documents.
- Assist Chamber staff with special projects and other administrative tasks as assigned.
Reception & Customer Service Support
- Provide front desk and receptionist coverage as needed.
- Answer incoming calls and respond to general inquiries promptly and professionally.
- Greet and assist visitors in a courteous and welcoming manner.
- Support in-person customers with product questions, purchases, and general Chamber information.
- Assist with retail point-of-sale transactions at the Chamber office and at offsite events.
- Assist with the fulfillment of online orders and assist with related customer service needs.
Event Support
- Assist with administrative tasks related to GOACC events.
- Support event preparation, setup, registration, sales, and onsite execution as needed.
- Assist with the processing of point-of-sale transactions at offsite events.
- Assist with post-event clerical tasks, payment records, and documentation as directed.
- Work occasional evenings and weekends for pre-scheduled Chamber events.
Qualifications
- Proficiency with Microsoft Office applications, especially Excel and Word, required.
- QuickBooks Online experience strongly preferred.
- Familiarity with basic bookkeeping practices preferred.
- Experience with point-of-sale systems preferred.
- Strong attention to detail and accuracy, especially when working with financial information.
- Excellent customer service skills and a welcoming, professional demeanor.
- Ability to follow established processes and communicate clearly with staff and external bookkeeping resources.
- Ability to handle multiple tasks while staying organized.
- Reliable transportation and ability to run occasional errands as needed.
Work Schedule
- Part-time, approximately 20-24 hours per week.
- Normal office hours are Monday-Friday, 9:00 AM - 4:30 PM, subject to change.
- Most shifts will fall within normal office hours.
- Some evening and weekend availability is required for pre-scheduled Chamber events.
- Reception/front desk coverage will be required as needed.
