Full Job Description

Key Responsibilities

Office Operations & Administration

Oversee day‑to‑day office operations, ensuring a clean, safe, and productive work environment.
Manage central dispatch of client projects and ticketing systems exceeding corporate standards.
Manage administrative workflows including scheduling, document organization, mail handling, and office supplies.
Track and manage office budgets, including procurement, equipment purchases, and vendor contracts.
Ensure compliance with internal policies and workplace safety guidelines.

Technical & IT Coordination

Support IT in all layers, both internally and externally with clients.
Maintain hardware and software inventory, including CRM licenses, loaner equipment, and device tracking.
Coordinate with IT, Security, HR, and Engineering teams regarding technology needs, access systems, and troubleshooting.
Manage visitor access and building technology requirements along with multi-tasking for dispatch of engineers.

Employee Experience & People Operations

Plan and coordinate company events, all‑hands meetings, visitor hosting, and culture‑building activities.
Partner with HR to support employee engagement programs.
Serve as a primary point of contact for employee questions about facilities, processes, and workplace resources and ensure ticket management within CRM exceeds expectations.
Assist with hybrid work planning, desk setup, and workspace optimization.

Facilities & Vendor Management

Oversee relationships with external vendors.
Manage facility requests and building maintenance, including space planning and workstation layout adjustments.
Negotiate and review service contracts for office services and amenities.
Develop and maintain safety protocols, emergency procedures, and compliance documentation.

Communication & Executive Support

Act as a central communication hub between internal teams and external partners.
Provide scheduling and logistical support for leadership as needed.
Prepare operational reports and assist with tracking office metrics and workflow efficiencies.

Process Improvement

Continuously identify opportunities to streamline workflows, improve employee experience, and optimize office operations.
Create and maintain standard operating procedures (SOPs) for administrative and operational processes.
Support change management as the company scales or adopts new systems and technologies.

Qualifications

Previous office management or workplace operations experience, ideally in a tech or high‑growth environment.
Strong organizational skills with the ability to manage multiple priorities in a fast‑moving setting.
Comfortable working with technology systems, office equipment, and basic IT troubleshooting.
Excellent communication and interpersonal skills.
Ability to work independently, take initiative, and deliver solutions with measured outcomes.
Familiarity with CRMtools, collaboration platforms, and hardware asset management is a plus.
