Northwest Cannabis Solutions is looking for a self-motivated entry-level Accounting Clerk to join our growing team. In this role, you will be responsible for performing a variety of administrative and clerical tasks. You should be comfortable with various office activities, including filing, answering phones, organizing documents, basic bookkeeping, and monitoring project plans, schedules, work hours, budgets, and expenditures.
To succeed as an Accounting Assistant, you need to work well under tight deadlines and be proficient in using Microsoft Office applications such as Word and Excel. Exceptional verbal, written, and presentation skills are also essential. Reliability, a strong work ethic, and effective communication skills are a must, along with familiarity with all necessary office equipment, software, and procedures.
Accounting Assistant:
PRIMARY DUTIES AND RESPONSIBILITIES:

Billing Responsibilities
- Generate, review, and distribute third-party payer invoices in accordance with contract terms, billing schedules, and internal policies.
- Verify accuracy of billing data, supporting documentation, pricing, and customer information.
- Process adjustments, credit memos, and rebills as needed.
- Maintain billing logs, invoice files, and audit-ready documentation.
- Collaborate with internal teams to clarify billing issues or obtain missing information.
Cash Application Responsibilities
- Use cash counting machines or manual methods to count cash. Document invoice discrepancies and follow overpayment procedures. Resolve unapplied cash and short payments.
- Accurately post customer payments.
- Match remittances to open invoices and research unidentified or short-paid amounts.
- Reconcile daily deposits, ensuring all postings align with bank deposits.
- Investigate discrepancies, misapplied payments, and unapplied balances, escalating issues as appropriate.
- Support month-end close activities, including reconciliations and reporting.
General AR Support
- Assist with AR aging reviews and customer follow-up as needed.
- Maintain organized records for billing and cash application processes.
- Support internal and external audit requests.
- Participate in process improvements, SOP updates, and system enhancements.
- Back up others in the department as necessary.
- Use cash counting machines or manual methods to count cash. Document invoice discrepancies and follow overpayment procedures. Resolve unapplied cash and short payments.
- Perform regular backup and security database activities.
- Comply with all company-mandated policies and procedures.
- Additional duties as defined by upper management and assistance as needed.

KNOWLEDGE, SKILLS AND ABILITIES:
- Proficient in QuickBooks and MS Office, particularly Excel and Google Sheets.
- Highly organized with strong attention to detail.
- Knowledgeable about front-facing relations and relevant processes.
- Previous experience in accounting or logistics roles.
- Proven ability to meet deadlines with minimal supervision.
- Capable of effectively communicating information and responding to inquiries from managers, colleagues, and vendors, both in writing and verbally.
- Strong sense of accountability and ownership in managing multiple projects; able to assess project urgency in a meaningful and practical way.
- Collaborative team player focused on fostering a respectful and professional work environment.
- Experience in adapting to fast-paced and dynamic environments.
EDUCATION AND EXPERIENCE:
- Must be 21+ Years of Age and residing in WA
- High school diploma or equivalent is required; a college degree is preferred.
- Previous working experience as a data entry clerk for (1) year.
- A valid driver’s license, a personal vehicle for on-the-job transportation, and proof of insurance coverage as required by NWCS policy are also necessary.
