Position Title: IT & Administrative Assistant
Reports to: Executive Assistant
Salary: $25.00 - $27.00 per hour
Benefits: Holiday, vacation, and sick leave prorated based on FTE. 401(k) employer contribution after 12 months of employment.
Hours: Part time, 20 hours per week. Must be available Monday – Friday during regular business hours; specific hours are negotiable based on agency needs and candidate availability.
Location: This position is based out of our West Olympia location.

Family Support Center of South Sound is a nonprofit 501(c)(3) multi-service agency located in Olympia, Washington, founded in 1992 to provide families and survivors of domestic violence, sexual assault, stalking, and human trafficking with coordinated supportive services in one centralized location.

Family Support Center seeks to build strong, healthy, safe, and hopeful families through collaborative programs and services, with the goal of reducing the impacts of family and child poverty, homelessness, and family violence in the South Sound community.
Position Summary
The Administrative & IT Assistant provides administrative, IT, clerical, and operational support to the Executive Director, Deputy Director, HR Director & Bookkeeper, Executive Assistant, and program staff of the Family Support Center of South Sound (FSCSS), and reports to the Executive Assistant.
This position is responsible for supporting the smooth operation of daily office functions, serving as the first point of contact for routine IT-related questions and issues, maintaining organized and accurate records, supporting purchasing and financial documentation processes, and assisting with building and office operations.
Duties include, but are not limited to, device setup and troubleshooting; diagnosing and resolving routine network, hardware, software, printer, and connectivity issues; supporting Google Workspace administration; coordinating with outside IT, phone, internet, utility, and other contracted service providers; maintaining office equipment and technology inventory; supporting financial documentation and purchasing workflows; managing office supply inventory; processing mail; supporting building access and usage; and safeguarding confidential materials and information.
The ideal candidate will be detail-oriented, organized, proactive, and able to prioritize tasks in a dynamic environment with regular interruptions, while maintaining a high level of professionalism. This role requires discretion, accuracy, strong communication skills, and a commitment to supporting FSCSS’s mission of strengthening families and survivors through collaborative programs and services.

Required Skills & Experience
● Education: Associate degree, or equivalent combination of education and comparable work experience.
● Experience: A minimum of 1 year of experience working in an office environment.
● Experience: A minimum of 1 year of experience working in IT or providing routine technical support.
● Strong computer literacy and proficiency with Microsoft Office programs, Google Workspace, and other common workplace technology.
● Ability to troubleshoot, problem-solve, and independently resolve routine technology issues, while recognizing when an issue should be escalated to outside IT support.
● Must be comfortable setting up and configuring new computers, printers, software, phones, and other office technology, and able to research and identify solutions when technical issues arise.
● Ability to communicate technical information clearly, patiently, and professionally to staff with varying levels of technical experience.
● Excellent written and verbal communication, strong interpersonal skills, and a commitment to outstanding customer service.
● Ability to maintain accuracy, attention to detail, and strong organizational skills while managing multiple tasks and competing priorities.

Physical Requirements
● Ability to perform general office tasks, including sitting or standing for extended periods, operating standard office equipment, and occasionally lifting and carrying up to 25 pounds.
Work Environment
● Work is performed primarily in an office setting with frequent interaction with staff, clients, community partners, vendors, and outside service providers.
● May include occasional off-site work and travel between program locations.
● Work may occasionally require responding to urgent office, building, or technology needs.
Primary Responsibilities
IT Support
● Serve as the first point of contact for routine IT-related needs, including troubleshooting internet, network, and Wi-Fi issues; resetting passwords; addressing workstation, printer, phone, and other equipment issues; and researching solutions to technical problems.
● Escalate complex or unresolved technology issues to outside IT support or appropriate vendors and coordinate follow-up until issues are resolved.
● Assist with Google Workspace administration, including establishing new user accounts, deactivating accounts, managing passwords and access, and maintaining knowledge of basic cybersecurity and account safety practices.
● Follow FSCSS technology and cybersecurity policies and promptly report suspected security incidents, phishing attempts, unauthorized access, or other technology-related concerns to the appropriate staff or IT provider.
● Coordinate with the Executive Assistant to maintain an accurate inventory of all computers, monitors, phones, printers, and other technology equipment and supplies. Ensure agency property is appropriately labeled and that equipment assignments and locations are documented.
● Coordinate new employee technology setup, including computers, monitors, phones, email, Google Workspace accounts, software, and other necessary equipment.
● Coordinate with the Executive Assistant to ensure technology, equipment, and account access are properly deactivated and recovered when employees separate from FSCSS.
● Correspond and work directly with phone, utility, internet, IT, and other service providers as required, including ordering toner or equipment, requesting phone extensions, troubleshooting service issues, resolving billing or invoice questions, and coordinating repairs or replacements.
● Coordinate with the Executive Assistant to prepare employee workstations, including office supplies, technology equipment, phones, and extensions, and assist with purchasing equipment when necessary and appropriately approved.
Administrative / Office Support
● Coordinate with the Executive Assistant to ensure all new hires have keys, name tags, business cards when applicable, office supplies, technology equipment, and other necessary materials.
● Maintain an organized filing system and ensure all sensitive documents, money, checks, gift cards, and similar materials are appropriately secured and that cabinets and storage areas are locked and secured nightly.
● Process approved purchasing and payment requests promptly, including purchasing office and program items, purchasing gift cards when authorized, processing online payments, and coordinating with appropriate staff when payments require program-specific approval or authorization.
● Follow established FSCSS purchasing, cash-handling, check, gift card, and financial-control procedures and ensure required documentation and approvals are obtained.
● Respond to staff questions or requests in a timely and professional manner; communicate with directors and supervisors as needed to confirm, obtain approval for, or fulfill staff requests.
● Maintain an awareness of available office supplies at the main campus and purchase office supplies when needed and appropriately approved.
● Support program managers with the secure distribution of authorized gift cards, checks, or other program-related items from the safe.
● Take responsibility for opening, organizing, and unpacking orders of supplies and ensuring items are properly stored.
● Assist with preparations for presentations, events, trainings, meetings, and other agency activities as needed.
● Run errands and perform other miscellaneous job-related duties as assigned.
● Participate in the agency-wide on-call rotation approximately 1–2 times per year, for one week at a time, and respond to urgent agency needs in accordance with FSCSS’s on-call procedures.
● Check, organize, and prepare the mail on a daily basis, including stuffing envelopes, stamping, and delivering mail to the outbox, as well as copying and faxing items as needed.
● Enter receivables into the appropriate donor management systems and spreadsheets and make copies or records of checks and deposits in accordance with established procedures.
Building / Tenant Support
● Respond to tenant needs promptly and effectively and notify Building Maintenance or the appropriate contact of urgent repairs, safety concerns, or other building needs.
● Coordinate building access and room usage, ensuring outside partner agencies requesting use of FSCSS spaces have appropriate access and are aware of applicable safety and security procedures.
● Assist with coordinating building access, room preparation, and logistical needs for meetings, trainings, events, and partner agency activities.
● Participate in the Safety Committee for the entire FSC Campus and assist with coordinating drills, agency-wide safety communications, and safety-related trainings as applicable.
● Communicate building, safety, security, or facility concerns to the appropriate supervisor or designated building contact and assist with follow-up as needed.
Confidentiality & Security
● Maintain strict confidentiality of employee, client, donor, financial, and agency information accessed through the course of employment.
● Use appropriate care and discretion when accessing agency systems, employee accounts, financial records, keys, checks, gift cards, and other sensitive materials.
● Follow FSCSS policies and procedures regarding confidentiality, records management, technology use, cybersecurity, financial controls, and physical security.
● Immediately report suspected loss of confidential information, unauthorized access, security concerns, or other incidents to the appropriate supervisor or designated contact.
