Full Job Description

Responsibilities

Manage and maintain accurate financial records using QuickBooks, Sage construction software, AppFolio software, experience on all preferred but trainable
Invoicing, expense tracking, and bank reconciliations
Provide front desk support by greeting visitors, answering multi-line phone systems, and directing calls professionally
Handle data entry tasks with precision, including filing, document proofreading, and updating spreadsheets
Assist with clerical duties like photocopying, mailing, and maintaining organized filing systems, organized work environment preferred
Perform general administrative tasks including typing correspondence, managing office supplies, and supporting personal assistant duties as needed

Requirements

Compile construction draw packets (gather invoices, print reports)
Bill AppFolio work orders
Payroll preparation
First of the month owner distribution support
First of the month investor checks
Commercial management fees
Commercial billbacks
Mail pick up/distribute to right personnel
Supply run/order/maintain
Reorder checks
File paperwork
Renew WA SOS and business licenses
Email communication
Strong typing speed along with attention to detail for proofreading and data entry tasks
Previous office experience in a construction, development or property management environment demonstrating reliability and professionalism and ability to multitask without a lot of supervision
