Full Job Description

Position Summary

The Assistant to the Director of Sales & Pricing provides administrative, analytical, and customer support for the sales, pricing, and account management functions of a liquid bulk transportation company. This role will work closely with customers, operations, billing, and senior leadership to ensure the successful execution of pricing strategies, customer onboarding, bid responses, and account management activities.

Essential Duties & Responsibilities

Sales & Customer Support

· Assist the Director of Sales & Pricing with daily sales and account management activities.

· Maintain strong professional relationships with customers and serve as a point of contact for routine inquiries.

· Coordinate customer onboarding, including account setup and documentation requirements.

· Assist with follow-up action items.

· Support customer reviews, service meetings, and business development initiatives.

Pricing & Analytics

· Assist with transportation pricing and rate development.

· Support the preparation and submission of customer bids, Request for Proposals (RFPs), and contract renewals.

· Analyze customer shipment, revenue, and profitability data.

· Develop reports and dashboards to identify trends, opportunities, and account performance.

· Maintain pricing records and ensure pricing accuracy within company systems.

CRM Administration

· Maintain customer, prospect, and opportunity information within Microsoft Dynamics 365 (D365).

· Create and manage quotes, customer records, contacts, and sales activities.

· Ensure CRM data integrity and accuracy.

· Generate sales activity and pipeline reports from D365.

Billing & Back Office Support

· Participate in the customer billing and invoicing workflow.

· Assist with investigating billing discrepancies and customer inquiries.

· Coordinate with operations, customer service, and accounting teams to ensure accurate customer invoicing.

· Review customer contract requirements and verify billing compliance.

Reporting & Administrative Support

· Prepare weekly, monthly, and quarterly sales reports.

· Maintain customer contracts, pricing agreements, and sales documentation.

· Support special projects related to sales growth, customer retention, and operational efficiency.

· Assist with presentation preparation and executive reporting.

Qualifications

Required

· Strong Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, filtering, and data analysis.

· Excellent organizational and time management skills.

· Strong verbal and written communication abilities.

· Ability to work independently and manage multiple priorities.

· High attention to detail and accuracy.

· Proficiency in Microsoft Office Suite.

Preferred

· Experience with Microsoft Dynamics 365 (D365) CRM.

· Transportation, logistics, trucking, or supply chain experience.

· Experience with pricing, financial analysis, or customer analytics.

· Understanding of freight rating, transportation costs, and margin analysis.

· Experience working with customer bids, RFPs, and contract administration.

· Knowledge of billing and invoicing processes.
