Full Job Description

JOB OVERVIEW

This position provides high-level administrative and strategic support to executive leadership.

A primary responsibility is the development, manipulation, and analysis of data in Microsoft Excel, including the creation of graphs, charts, and other data visualizations. The ideal candidate will have extensive experience extracting, aggregating, organizing, and analyzing data in Excel, with the ability to transform complex information into clear, meaningful visual reports that facilitate executive decision-making.

ESSENTIAL FUNCTIONS

Develop, maintain and enhance complex Excel workbooks, dashboards and reporting tools for executive leadership
Manage complex executive calendars, scheduling, and meeting coordination, which includes prioritizing appointments and resolving scheduling conflicts.
Compose, edit, and maintain complex reports, letters, memos, spreadsheets, and presentations.
Prepare and distribute meeting agendas, reports, and related materials. May be assigned to maintain the digital Board website platform.
Attend meetings as requested or assigned and record meeting minutes and action items.
Serve as a primary point of contact for internal and external stakeholders with responsibility for answering calls, greeting visitors, and handling mail.
Draft, edit, and proofread correspondence, reports, and executive communications.
Design, organize, and maintain secure, accessible digital and physical record systems for executive records, files, and confidential documentation.
Coordinate logistics for leadership meetings, conferences, and organization events.
Assist with budget tracking, invoice processing, and expense reconciliation.
Support strategic initiatives, organizational priorities, and special projects led by executive leadership through proactive administrative management.
Conduct research, compile data, and analyze information independently for executive decision-making.

QUALIFICATIONS

· Expert-level Microsoft Excel skills required. Must demonstrate advanced proficiency in data extraction, aggregation, analysis, manipulation, reporting dashboard development, and data visualization.

· Advanced proficiency in PowerPoint, including development of executive-level presentations and visual materials.

· Minimum five (5) years of administrative assistant work experience required or equivalent experience.

· Prior experience supporting C-level executives preferred.

· Experience with calendar management and virtual meeting platforms (i.e. Zoom, MS Teams).

· Valid driver’s license and good driving record required.
