Full Job Description

Stephen Center has served homeless and low-income individuals in Omaha since 1984 with the mission to partner with the community, families and individuals to overcome homelessness, addiction and poverty. The Pettigrew Emergency Shelter and Permanent Supportive Housing offerings provide safe and secure housing while individuals and families complete an assessment of permanent housing options. All Stephen Center residents have access to dual diagnosis support services via the HERO addiction/recovery program. 100% of Stephen Center shelter supportive housing participants are living in poverty. Housing transition support identifies poverty barriers that may impact one’s ability to achieve or maintain permanent housing through case management, life skills, and behavioral health services. Stephen Center serves approximately 250 people daily in all programs.

Purpose:

The Accounting Associate will play a crucial role in maintaining the financial records and assisting with the day-to-day accounting functions of the Stephen Center. This position will report to the CFO and will be responsible for ensuring accurate financial data entry, processing transactions, and supporting the financial reporting process. Reporting directly to the CFO, this role performs professional accounting work across accounts payable, month-end close, balance sheet reconciliations, grant reporting, purchasing, inventory management, audit support, and financial analysis. The position is expected to think critically, identify opportunities for improvement, leverage technology, and contribute to a culture of accountability, collaboration, and continuous learning.

Key Accountabilities:

Accounting Operations (30%)

Manage Bill.com invoice workflow and vendor payments.

Maintain vendor records and proper GL coding.

Prepare journal entries and maintain supporting documentation.

Month-End Close (20%)

Complete assigned balance sheet reconciliations.

Reconcile bank, credit card, prepaid, fixed asset and other accounts as assigned.

Assist with monthly close checklist and accruals.

Purchasing & Inventory (20%)

Support purchasing activities.

Manage MaintainX inventory records.

Track capital asset purchases.

Financial Reporting & Analysis (5%)

Prepare recurring financial reports.

Perform budget-to-actual and ad hoc analysis.

Assist with dashboards and management reporting.

Grants & Compliance (5%)

Track grant expenditures.

Prepare reimbursement requests and grant schedules.

Maintain audit-ready documentation.

Audit & Internal Controls (5%)

Assist with the preparation audit schedules.

Recommend and implement stronger internal controls.

Support policy and procedure documentation.

Technology & Process Improvement (5%)

Leverage NetSuite, Bill.com, Excel and other systems.

Identify automation opportunities.

Document and improve finance workflows.

Collaboration (5%)

Provide outstanding service to departments, vendors and auditors.

Communicate professionally and protect confidential information.

Success in the First 90 Days

Develop a working knowledge of Stephen Center's programs, chart of accounts, and accounting systems.

Independently process Accounts Payable through Bill.com with minimal supervision.

Complete assigned reconciliations accurately and on time.

Become proficient in NetSuite, MaintainX, and finance workflows.

Contribute at least one meaningful process improvement recommendation.

Annual Performance Expectations

Preferred Qualifications:

Bachelor's degree in Accounting strongly preferred; Associate's degree with relevant experience considered.

2–5 years of progressive accounting experience; nonprofit experience preferred.

Strong understanding of GAAP, journal entries, accrual accounting, reconciliations, and internal controls.

Advanced Excel skills preferred (PivotTables, XLOOKUP, SUMIFS; Power Query).

Experience with NetSuite, Bill.com, MaintainX, Microsoft 365, and financial reporting systems.

Key Performance Indicators (KPIs)

Assigned month-end close tasks completed by deadline.

100% of assigned balance sheet reconciliations completed monthly.

Vendor invoices processed accurately and timely.

Grant reporting submitted accurately and on schedule.

Meaningful process improvements implemented annually.
