Full Job Description

ARE YOU READY TO MAKE AN IMPACT?

The City of Blair is seeking an organized, detail-oriented, and service-focused Deputy City Clerk to join our Administration team. This full-time, nonexempt position provides essential administrative and customer service support for City Hall while assisting the City Clerk with municipal records, licenses and permits, public meetings, legal notices, and other Clerk's Office responsibilities.

The ideal candidate enjoys helping others, values accuracy, and can manage multiple responsibilities while working collaboratively with City staff, elected officials, and the public.

What You'll Do:

Provide front-line customer service to residents and visitors in person and by phone, including processing payments, responding to questions, and assisting with City transactions.
Process assigned licenses, permits, and renewals by verifying documentation, collecting fees, tracking expiration dates, and communicating next steps.
Assist with City Council and other assigned meetings by preparing agendas, packets, notices, and supporting materials; recording proceedings; preparing minutes; and completing follow-up tasks.
Provide administrative support for the Parks, CemeteryRecreation Board and Airport Authority meetings.
Assist with maintaining official City records and assist with records retention, scanning, indexing, archiving, and retrieval.
Track City board and committee vacancies, appointments, terms, and reappointments.
Prepare and publish legal notices for City boards, commissions, and public hearings.
Serve as backup to the City Clerk and perform delegated Clerk functions when assigned.
Provide administrative support to the City Clerk and City staff as assigned.

What You Bring:

High school diploma or GED required.
Administrative, municipal government, or clerical support experience preferred. 5 or more years of related experience is a plus.
Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, as well as Microsoft Teams.
Strong organizational, communication, and multitasking skills.
Excellent attention to detail and the ability to maintain accurate records.
The ability to work effectively with City staff, government officials, and the public.
A commitment to serving others with friendliness, tact, and diplomacy.
Availability to attend evening meetings approximately one to two nights per month.
