Job Overview

We are seeking a dynamic and highly organized Front Office Lead to oversee the daily operations of our healthcare facility’s front desk and administrative functions. This pivotal role combines leadership, operational management, and exceptional customer service to ensure a smooth patient experience and efficient clinic workflow. The ideal candidate will possess strong supervisory skills, comprehensive medical office management experience, and a deep understanding of healthcare regulations and billing procedures. As the first point of contact for patients and visitors, you will set the tone for professionalism, efficiency, and compassionate care.

Responsibilities

Lead and supervise front office staff, including receptionists, administrative assistants, and patient coordinators, fostering a collaborative team environment.
Oversee patient check-in and check-out processes using electronic health records (EHR) systems such to ensure accuracy and compliance with HIPAA regulations.
Manage appointment scheduling, patient flow, and wait times to optimize clinic productivity while maintaining excellent customer service standards.
Coordinate with clinical staff to ensure medical records are accurately maintained, updated, and securely stored in compliance with healthcare policies.
Oversee billing procedures, insurance verification, and collections using medical billing software to ensure financial integrity.
Monitor office supplies inventory, equipment maintenance, and facility cleanliness to uphold a professional environment conducive to high-quality care.
Implement practice management strategies that enhance operational efficiency while adhering to healthcare regulations and HIPAA compliance.
Handle human resources functions including staff training, performance evaluations, conflict resolution, and ensuring team adherence to policies related to healthcare practice management.
Maintain knowledge of healthcare management practices including managed care policies, utilization management processes, and health regulation policies to ensure ongoing compliance.

Experience

Proven supervisory experience in a medical or dental office setting with demonstrated leadership in managing teams within a healthcare environment.
Extensive medical office experience with familiarity in electronic health records, patient management software, and billing systems.
Strong understanding of healthcare regulation policies.
Experience managing medical administrative support functions such as appointment scheduling, patient records management, and insurance verification.
Knowledge of office management principles within clinical settings including budgeting, staffing coordination, human resources practices, and workflow optimization.
Background in acute care or hospital environments is advantageous; veterinary or dental clinic experience is also valued for versatile expertise.
Excellent managerial communication skills combined with customer service excellence to foster positive patient interactions while maintaining operational standards.
