Full Job Description

Job Overview
We are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support to our President & Founder. The ideal candidate will possess exceptional communication skills, a keen attention to detail, and the ability to manage multiple tasks efficiently. This role is crucial in ensuring the smooth operation of our office and supporting our leadership in achieving organizational goals.

Duties

Provide executive administrative support to the family of companies under the direction of the President & Founder. (Stichler Wealth Management, Stichler Schools, & Stichler Properties)
Includes being the lead assistant for the wealth management company (50% of your time), managing the employee benefits & payroll for the educational companies (25% of your time), and managing property management duties for a small commercial office building (25% of your time).
Manage calendars, scheduling meetings, and coordinating travel arrangements.
Understanding and experience with the basics of the investment advisory and wealth management world (mutual funds, ETF's, stocks, bonds, UIT's, insurance products, etc.)
Prepare and proofread documents, reports, and presentations to ensure accuracy and professionalism.
Maintain organized filing systems for both physical and digital documents.
Handle client service inquiries with professionalism and courtesy, ensuring a positive experience for clients, tenants, and co-workers.
Assist with clerical tasks such as data entry, record keeping, and office organization.
Utilize Microsoft Office Applications for document creation, spreadsheet management, and collaborative projects.
Manage office supplies inventory and coordinate with vendors as needed.
Support special projects as assigned by executives, demonstrating flexibility and adaptability in a fast-paced environment.

Requirements

Bachelor's Degree or equivalent job experience.
Securities Licenses (Series 7, 66) - or willing to obtain
Proven experience in an executive administrative support role or similar position.
Experience in the financial services industry required
Experience with Redtail, DST Vision, Microsoft Office applications, Wealthscape
Familiar with FINRA and SEC rules and regulations
Strong proofreading skills with an eye for detail to ensure high-quality outputs.
Excellent organizational skills with the ability to prioritize tasks effectively.
Strong customer service orientation with excellent interpersonal skills.
Ability to work independently as well as collaboratively within a team environment.
Familiarity with clerical and administrative procedures is preferred.
High level of discretion and confidentiality when handling sensitive information.
