Overview

We are seeking a dynamic and energetic Front Office Assistant to be the welcoming face of our organization. In this vital role, you will serve as the first point of contact for visitors and guests, ensuring a seamless and positive experience from the moment they arrive. Duties

Greet and assist visitors, guests, and clients with a friendly and professional demeanor, ensuring they feel valued and comfortable.
Manage front desk operations including answering phones, directing calls, and handling inquiries promptly.
Process guest check-ins and check-outs efficiently using hospitality reservation systems and POS (Point of Sale) systems for payments.
Maintain cleanliness and organization of the reception area, including light cleaning duties and ensuring supplies are stocked.
Handle administrative tasks such as data entry, maintaining guest records, and managing financial transactions with accuracy.
Support event coordination by assisting with reservations, scheduling appointments, and providing information about services offered.
Assist with safety procedures including first aid administration when necessary, CPR certification preferred.
Perform manual handling tasks such as heavy lifting of supplies or equipment when required, following proper safety protocols.
Collaborate with team members to ensure smooth daily operations, demonstrating leadership qualities when needed.
Uphold guest relations by resolving conflicts professionally and ensuring a welcoming environment for all visitors.

Skills

Multilingual or bilingual abilities to communicate effectively with diverse guests and team members.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for administrative tasks.
Experience in hospitality or food service environments is highly desirable.
Knowledge of hospitality reservation systems and POS systems to process transactions accurately.
Strong customer service skills with the ability to handle guest inquiries and resolve conflicts diplomatically.
Ability to perform heavy lifting safely during cleaning or supply management tasks.
Experience with hotel or resort operations enhances understanding of guest relations and service standards.
Certification in first aid and CPR to ensure safety in emergency situations.
Familiarity with credit card payment processing for secure financial transactions.
Effective conflict management skills to address guest concerns promptly and professionally.
Demonstrated team leadership qualities to support a collaborative work environment.
