About the Role

We are seeking a strategic, highly organized, and tech-forward Operations Manager to help lead the day-to-day operations of a fast-paced, top-producing real estate business.

This is not a traditional administrative position. We are looking for someone who thrives on creating systems, improving processes, leveraging artificial intelligence, and implementing technology that allows the business to operate more efficiently and continue to scale.

Key ResponsibilitiesBusiness Operations

Oversee daily business operations and ensure smooth execution across all departments.
Develop, document, and continuously improve Standard Operating Procedures (SOPs).
Create systems that support long-term business growth and scalability.
Manage calendars, deadlines, projects, and operational priorities.
Coordinate with the Transaction Coordinator to ensure a seamless client experience from contract to close.
Maintain accurate records, databases, and business reporting.

Technology & AI

Identify and implement AI tools that improve efficiency and productivity.
Build AI workflows for marketing, client communication, operations, and internal processes.
Create and maintain prompt libraries for ChatGPT and other AI platforms.
Evaluate new technologies and recommend solutions that support business growth.
Automate repetitive tasks using AI and workflow automation platforms.
Stay current on emerging AI trends and introduce practical applications for the business.

Client Experience

Develop systems that create a five-star client experience.
Improve communication workflows and client touchpoints.
Coordinate appreciation events, client gifting, and follow-up campaigns.
Monitor client satisfaction and identify opportunities for improvement.

Leadership & Growth

Serve as the operational partner to the business owner.
Anticipate challenges before they become problems.
Recommend process improvements and operational efficiencies..
Help build a scalable foundation that supports long-term expansion.

QualificationsRequired

Exceptional organizational and project management skills.
Strong technology aptitude with the ability to quickly learn new platforms.
Excellent written and verbal communication.
Ability to prioritize competing demands in a fast-paced environment.
Strong problem-solving and critical-thinking skills.
High attention to detail.
Self-motivated and proactive.

Preferred

Experience using AI platforms such as ChatGPT, Claude, Gemini, or similar tools.
Experience with Canva, CapCut, or other content creation software.
CRM experience (Keller Williams Command preferred) but not required.
Google Workspace and Microsoft Office proficiency.
Real estate industry experience is a plus but not required.
