Position Announcement

Accounts Payable and Payroll Specialist (Accountant II)

Preferred Start Date: July 2026

Duty Location: IAE Headquarters,Corvallis, OR

Hours/Schedule: Full-time, regular employee; 32-40 hours per week

Expected to typically be in the office at least 1-2 days per week

FLSA Status: non-exempt

Classification: Accountant II

Supervisor: Director of Finance and Operations

Supervisee(s): None

Compensation: $27.00-$30.00 per hour

About the Institute for Applied Ecology

The Institute for Applied Ecology is a mission-driven non-profit organization that works to restore species and save ecosystems. Founded in 1999, IAE fills a unique niche in conservation and works with a diverse group of partners to conserve native species and habitats through restoration, research and education. Our team of botanists, ecologists, educators, and restoration professionals advances our mission across the western U.S. from our headquarters in Corvallis, Oregon and our branch office in Santa Fe, New Mexico.

Position Description

The Accounts Payable and Payroll Specialist delivers essential operational services that support IAE and our staff in pursuing our conservation mission. The Specialists manages payroll (~40 regular employees + seasonals) and accounts payable, supports office operational needs, develops operational enhancements to support the Finance & Operations Department, and collaborates to achieve organizational priorities.

The Accounts Payable and Payroll Specialist is part of a collaborative accounting and finance team. The team utilizes Sage Intacct, ADP, and other accounting and financial platforms to ensure appropriate accounting and tracking of IAE’s finances, budgets, and grant compliance.

Specific Responsibilities

· Accounts Payable Management

Receive invoices and bills from vendors; process payments and post payments to accounting software (Sage Intacct)
Record project expenses and file all supporting documentation
Complete annual 1099 reporting/filing
Establish new and maintain list of vendors and contractor.
Perform annual W9 Audit
Manage employee credit cards and expense reports

· Payroll and Employee Reimbursement Management

Process payroll (currently monthly) for all employees across multiple states (ADP)
Ensure appropriate registration in states of work
Onboard/Offboard employees in payroll system
Ensure completion of quarterly and annual payroll reports and employee W2s.
Facilitate employee reimbursements

· Finance and Operations Support

Assist with annual tasks: audit preparation and requests; Negotiated Indirect Cost Rate Agreement proposal creation; organization insurance audit needs; organization budgets; teamwork plan development
Provide insights as request on organizational budgets and project grant proposals, particular as it relates to costs of employees
Cross-train with other department staff; serve as backup for other processes and procedures
Assist with office management needs of the Northwest office, including ordering of supplies, service as POC for maintenance needs (e.g., landscaping, office clean company).

Minimum Qualifications

Three years of related experience and a Bachelor’s degree in accounting, finance, or related subject.
Skills and Abilities:
Multi-tasker, with strong organizational skills
Work with limited supervision to complete tasks
Analyze financial information and generate reports related to areas of responsibility
Proficient with Sage Intacct or similar accounting software
Proficient with Google Workspace and Microsoft Office Suite tools and programs

Additional desired skills

· Non-profit accounting experience

Physical Challenges:

Ability to remain in a stationary position, often sitting or standing for prolonged periods.
