Full Job Description

Accounting and HR Manager

The Accounting & HR Manager is a critical, dual-function leadership role responsible for the full financial health and human resources operations of the company. Located in Pensacola, FL, this individual will oversee accounting accuracy, payroll compliance, HR administration, and vendor management, working closely with ownership and senior leadership to support the company's continued expansion. This role requires taking ownership of the accounting function end-to-end, building and improving processes, and bringing structure to a fast-moving operation.

Job Responsibilities

Manage full-cycle accounts payable and receivable across multiple regions and revenue streams
Perform monthly bank reconciliations, credit card reconciliations, and GL reviews in QuickBooks Online
Prepare monthly financial reports: P&L by class/region, balance sheet, and cash flow statements
Maintain accurate job costing, revenue classification, and chart of accounts
Coordinate and oversee multi-system workflows across QBO, Gusto, Jobber, and Dropbox
Support annual tax preparation, audit readiness, and insurance audits (workers' comp, general liability)
Manage vendor relationships, billing disputes, and payment processing
Identify and implement process improvements to increase accuracy and efficiency
Administer bi-weekly payroll processing through Gusto for 40+ employees across multiple states
Maintain compliance with federal, state, and local payroll tax requirements across multi-state operations
Manage employee onboarding and offboarding documentation, including I-9s, W-4s, and direct deposit
Administer employee benefits enrollment (health, dental, vision, 401k) and serve as primary point of contact for benefit questions
Handle HR compliance matters: garnishments, support orders, FMLA, workers’ comp claims
Maintain accurate employee records and personnel files
Support recruiting efforts: job postings, candidate coordination, offer letters, onboarding
Manage fleet-related accounting entries for 30+ vehicles including registrations, insurance, and maintenance
Coordinate with operations and field teams on billing accuracy, work order reconciliation, and expense tracking
Serve as liaison between ownership and external partners such as CPA, insurance broker, staffing agencies, and vendors
Support contract administration and vendor agreement tracking

Qualifications

3+ years of full-cycle accounting experience, preferably in a service-based or field service company
Strong, hands-on proficiency in QuickBooks Online — daily operational use required
Experience managing payroll for 30+ employees, ideally through Gusto or similar platforms
Solid understanding of multi-state payroll tax compliance
Experience with HR administration: benefits, compliance, employee relations
Proficient in Microsoft 365 (Outlook, Excel, Teams)
Self-directed with strong organizational skills and high attention to detail
Experience in companies with 30-50+ employees and fleet/vehicle operations (preferred)
Familiarity with Jobber, Dropbox, or similar field service and document management platforms (preferred)
Background in construction, HVAC, or other skilled trades/field service industries (preferred)
Associate’s or bachelor’s degree in accounting, Business, or related field

Compensation and Benefits

Pay Rate: $60,000 – $65,000 per year, based on experience
