Office Assistant & Patient Sales Coordinator

Ohana Health | Part-Time, 2–3 Days per Week

Position Overview

Ohana Health is seeking a professional, personable, and motivated Office Assistant & Patient Sales Coordinator to support the day-to-day operations of our growing health and wellness practice. This position combines front-desk responsibilities, administrative support, patient service, treatment assistance, and sales.

The ideal candidate is confident communicating with patients, enjoys building relationships, and can naturally educate patients about Ohana Health’s services in functional medicine, metabolic health, hormone and wellness optimization, and advanced health and wellness in office treatments.

Key Responsibilities

Front Desk & Patient Experience

Welcome and check patients in and out with warmth and professionalism.
Answer phones, schedule appointments, and respond to patient inquiries.
Maintain a polished, organized, and welcoming office environment.
Provide an exceptional patient experience for every patient.

Insurance & Administrative Support

Verify patient insurance benefits and eligibility.
Assist with insurance-related administrative tasks and documentation.
Maintain accurate patient records and assist and other office duties.
Support daily administrative and operational needs of the practice.

Back-Office & Treatment Support

Assist the clinical team with patient flow and preparation for treatments.
Prepare treatment rooms and maintain appropriate supplies and inventory.
Assist with non-clinical aspects of wellness and aesthetic treatments as directed and within appropriate training and scope.
Help ensure a smooth transition between consultations, treatments, and checkout.

Patient Education & Sales

Educate patients about Ohana Health’s programs, services, memberships, and wellness offerings.
Identify opportunities to introduce patients to appropriate services based on their interests and goals.
Follow up with prospective and existing patients regarding programs, consultations, memberships, and treatments.
Support sales of functional medicine, metabolic health, wellness programs, supplements, and membership packages.
Build ongoing relationships with patients and help them to understand the value of a comprehensive, personalized approach to health optimization.
Meet established practice goals for patient engagement and sales.

Ideal Candidate

Professional, polished, personable, and confident.
Excellent communication and customer-service skills.
Comfortable discussing health, wellness, and services with patients.
Sales-minded without being overly aggressive or transactional.
Organized, dependable, and able to multitask in a busy medical environment.
Comfortable learning functional medicine, metabolic health, hormone optimization, supplements, and wellness treatments.
Previous medical office, wellness, aesthetic, hospitality, or sales experience preferred.
Must demonstrate discretion, professionalism, and respect for patient privacy.

Schedule

Part-time: 2–3 days per week, with the potential for additional hours as the practice grows.

What We Are Looking For

We are looking for someone who wants to be more than a receptionist. This person will be an important part of the Ohana Health patient experience and growth of the practice—someone who can welcome patients, support the clinical team, educate patients about our services, and confidently help patients take the next step toward better health, function, and vitality.

Pay: $15.00 - $18.00 per hour
