Full Job Description

Interim AP Manager

We are partnering with a Company in the Orange County area as they search for a strong AP Manager on an interim-to-hire basis. The role supports a steady, moderate invoice volume (approximately a dozen invoices daily) through largely manual workflows. We need someone who can immediately step in to manage day-to-day AP operations while laying the groundwork for more scalable, efficient processes. This is a hands-on, interim engagement suited to a candidate who is detail-oriented, self-directed, and comfortable taking ownership of a process with minimal ramp-up.

WHAT YOU'LL DO:

Accounts Payable Operations

Take ownership of the full AP cycle — invoice intake, coding, approval routing, and payment execution.
Oversee recurring vendor invoices, ensuring accuracy and on-time processing.
Process daily invoice volume (roughly a dozen per day), including 3-way matching of invoices to purchase orders and receiving documentation where applicable.
Maintain up-to-date vendor files, W-9s, and 1099 records.
Serve as the point of contact for vendor inquiries, resolving discrepancies promptly and professionally.

Process Improvement & Automation

Assess existing manual AP workflows and identify near-term opportunities for automation and efficiency.
Collaborate with Finance leadership to introduce workflow tools and standardize approval processes.
Draft and document AP policies, procedures, and internal controls to support a smooth eventual handoff.
Recommend system-level improvements within the ERP platform to reduce manual touchpoints.

Month-End Close Support

Prepare AP-related journal entries and accruals for month-end close.
Reconcile the AP subledger against the general ledger.
Provide visibility into upcoming payment obligations to support cash flow forecasting.

Audit, Compliance & Cross-Functional Support

Assist with year-end audit requests related to accounts payable.
Ensure adherence to company policy, internal controls, and GAAP as they pertain to AP.
Partner with operations, procurement, and other functions to streamline data flow and resolve invoice/vendor issues.
Support additional ad-hoc projects as needed during the engagement.

Proficiency in Excel data analysis techniques including formulas like VLOOKUP and data entry accuracy.
Familiarity with payroll management systems like ADP or Kronos is advantageous.

Rate: $50/hr - $70/hr
