Job Overview
The Clinical Program Assistant is a non-clinical, supervised support position within a licensed California Substance Use Disorder (SUD) treatment program. The primary purpose of this position is to enhance documentation integrity, regulatory compliance, chart accuracy, client engagement continuity, and operational workflow and efficiency. This position does not provide independent clinical services outside of weekly facilitation of groups and does not perform diagnosis, treatment planning, level-of-care determinations, or allow clinical decision-making. All clinical functions are conducted as a supportive function to the program and are under documented supervision within licensing and accreditation standards.

- Assist the clinical team with the completion of treatment service processes
- Assist with required documentation within the defined scope of assigned tasks
- Audit medical records to ensure accuracy, timeliness, and regulatory compliance
- Notify clinicians of missing documentation
- Submit all missing documentation requests to promote program chart compliance
- Communicates within the program's internal systems in compliance with HIPAA and confidentiality standards
- Utilize approved AI-supported EMR tools
- Support the intake and admissions process workflow
- Ensure program efficiency with client care and client experience during high-volume intake periods
- Fill in to facilitate groups as needed
- Audit all group participation and communicate any deficiencies to the clinical team
- Conduct structured client check-ins using approved templates when licensed staff are unavailable
- Assist with authorized family and collateral contacts and prepare structured documentation for review
- Utilize and report required outcomes measurement tools quarterly and present to executive team
- Ensure the clinical team utilizes No-Harm or Safety Contracts for low-risk clients only, per protocol
- Support scheduling, logistics, and daily program coordination
- Audit compliance deadlines, follow-ups, and documentation requirements
- Operate strictly within the defined scope of practice
Education, Training, and Experience Required:
- Preferred work experience: SUD treatment min. Of 1-yr
- High school diploma, GED,
- or one year of work experience in a supportive role.
- Credentials: RADT-i, RADT Trainee, Peer Support Specialist Certification, SUDRC-I, or higherRequired Knowledge, Skills, and Abilities: (Basics in template)
- Knowledge of SUD and Co-Occurring Disorders of industry standards as related to the position of BHT/Driver Support Staff, educated on the disease of addiction and substance abuse, co-occurring disorders, MAT, and Harm Reduction principles.
- Ethical & Legal Considerations - Confidentiality and HIPAA regulations, Mandated Reporting, ethical decision making
- Communication & Documentation - Clinical Documentation, Interdisciplinary Collaboration, Cultural Sensitivity & Trauma-Informed Care, Exit blocking
- Intermediate knowledge of Kipu and computer skills of PC software programs, particularly Microsoft Word, Kipu, Google Workspace and Excel, are preferred.
- Communication skills - must be able to concentrate on work amid distractions such as noise, conversations, and foot traffic in a professional manner
- Exercise Good Judgement - maintain self-control in volatile or hostile situations, such as when verbally or physically confronted in an aggressive manner
- Work independently, with little supervision, in an unstructured environment with multiple demands
- Experience in Understanding of Treatment Program and Modalities - intake, assessment, biopsychosocial, drug screening, consents, record requirements and documentation, referral, and discharge planning
- Clinical Skills and Documentation Standards - Client Observation & Monitoring, Crisis Intervention Techniques, Basic Counseling Support, Group Facilitation Support, Treatment Planning Assistance, Supporting clients in following their treatment plans and setting recovery goals.
- Cultural Sensitivity & Trauma-Informed Care - specific populations with deficits in care, harassment policies,s and cultural differences amongst co-workers and clients.
- Interdisciplinary - Working with counselors, social workers, and medical staff
- Positive Representation of Company Standards - Ability to represent the program well in interactions both inside and outside the facility
- Group Facilitation and Client Care - credentialed in addiction work, knowledgeable about the process of recovery, 12 steps, and substance abuse treatment, and effectively educate those in the community

While performing the duties of this job, the employee must be able to work in a fast-paced environment with minimal to high volumes of stress.
Position: On site, residential treatment facility, 40 hours per week
