Full Job Description

Job Summary: A Pacific Sports and Spine Medical Assistant plays a vital role in supporting the clinics by performing both administrative and clinical tasks to ensure efficient and effective patient care. Responsibilities include preparing patients for examinations, taking medical histories, measuring vital signs, assisting with procedures, and managing patient records. The Medical Assistant also facilitates communication between patients and providers, schedules appointments, and ensures a clean and organized clinical environment. This role requires strong interpersonal skills, attention to detail, and a commitment to maintaining patient confidentiality and quality care.

Key Responsibilities

Prepare patients for examination, including taking vital signs and medical histories
Assist physicians during examinations and procedures
Perform basic laboratory tests and collect/prep specimens for testing
Ensure exam rooms are clean, stocked, and properly sterilized
Educate patients on medications, procedures, or physician instructions
Maintain accurate and up-to-date patient medical records (EMR/EHR systems)
Handle billing, coding, and insurance documentation
Answer phones, respond to inquiries, and relay messages to clinical staff

Qualifications:

High school diploma or equivalent (required)
Certification as a Medical Assistant (CMA, RMA, CCMA, or NCMA) preferred is preferred
Proficiency with Electronic Medical Records (EMR) systems
Knowledge of medical terminology, basic clinical procedures, and HIPAA regulations
Excellent communication and interpersonal skills
Strong organizational and time management abilities
Ability to work in a fast-paced environment and adapt to changing priorities.

Measuring vital signs (blood pressure, temperature, pulse, respiration)
Performing basic diagnostic testing
Assisting with minor procedures
Wound care and dressing changes
Sterilizing instruments and maintaining a sterile field
Electronic Medical Records (EMR/EHR) data entry and management
Medical billing and coding (ICD-10, CPT)
Managing patient intake forms and consent documents
Typing and basic computer proficiency (Microsoft Office, email systems)
Familiarity with HIPAA and patient confidentiality protocols

Empathy and Compassion: Strong understanding of the patients that are experiencing pain and medical issues.

Work Environment:

This position may require working in a hospital or clinic setting.
The role involves interacting with patients both in person and over the phone.

Reporting Structure:

The Medical Assistant operates within the Clinical Department and reports directly to the Clinical Supervisor

Compensation and Benefits

Position is eligible for employer-sponsored health benefits
Schedule: Monday-Friday, 8am–5pm

Employment Status:

Full-time, 40 hours per week, non-exempt position.
Oregon is an at-will employer state and reserves the right to terminate employment at will.

Work environment and Physical Requirements:

Clinical Setting – Work is primarily performed in a medical clinic environment with exposure to patients, healthcare equipment, and medical supplies.
Confidentiality & HIPAA Compliance – Strict adherence to patient confidentiality and federal privacy regulations.
Compliance & Safety Regulations – Adherence to OSHA, HIPAA, and other healthcare safety standards.
Exposure to Illnesses – Potential exposure to infectious diseases, bloodborne pathogens, and bodily fluids; adherence to safety and sanitation protocols required
Physical Demands – Frequent standing, walking, bending, and lifting are required
Team-Oriented Environment – Collaboration with doctors, nurses, administrative staff, and other healthcare professionals.
Relationships – Respectful productive relationships with co-workers, patience and outside professionals.
Patient Interaction – Direct engagement with patients, including those in distress, requiring strong communication and empathy
Influenza immunization required – Paid for by employee

A Medical Assistant at Pacific Sports and Spine will spend some of the day seated at a desk, working on a computer and/or handling paperwork. Prolonged computer use, along with frequent typing, can lead to discomfort in the back, neck, shoulders, or wrists if ergonomics are neglected. Eye strain may result from focusing on screens and small text, while filing and organizing records may require bending or reaching.

The role may also involve using telephones or headsets, requiring high concentration to ensure accuracy and compliance. Although not physically demanding, the sedentary and repetitive nature of the role can cause strain. Taking breaks and maintaining good posture can help prevent discomfort and injury.
