Full Job Description

Position Summary

Neaman Surgery Center is seeking an experienced, highly organized, and compassionate Surgery and Procedure Scheduler to join our busy surgical team. This role is essential to ensuring patients feel supported, informed, and confident as they move through the surgical process.

The ideal candidate has strong surgery scheduling experience, understands insurance authorizations and surgical coordination, and thrives in a fast-paced environment where accuracy, communication, and follow-through matter every day. This position requires someone who can balance the operational details of scheduling with the warmth and professionalism needed to care for patients during an important and sometimes emotional part of their healthcare journey.

This is an excellent opportunity for someone who enjoys working closely with physicians, clinical teams, outside facilities, insurance companies, and patients to help create a smooth, organized, and exceptional surgical experience.

Key Responsibilities

Responsibilities include, but are not limited to:

Coordinate and schedule surgeries, procedures, pre-operative appointments, post-operative appointments, and follow-up visits according to provider and facility requirements.
Serve as a key point of contact for patients throughout the surgical scheduling process.
Communicate clearly and compassionately with patients regarding scheduling, preparation, financial expectations, and next steps.
Obtain insurance authorizations and verify requirements for surgical procedures.
Review patient benefits, deductibles, co-pays, co-insurance, and authorization status as needed.
Coordinate with physicians, clinical staff, surgery center staff, outside providers, hospitals, and surgical assistants.
Arrange special equipment, implants, supplies, surgical materials, and vendor support when needed.
Ensure all required clinical, financial, and consent-related documentation is complete prior to surgery.
Submit necessary patient information to surgical facilities and outside entities while maintaining HIPAA compliance.
Review surgical charts for completeness before scheduled procedures.
Communicate schedule changes, supply needs, and updates to the surgery center and clinical teams.
Schedule outside providers performing procedures at Neaman Surgery Center.
Request additional surgery time from outside facilities, including Salem Hospital, when needed.
Complete and distribute weekly provider surgery schedules as assigned.
Collect patient pre-payments and communicate outstanding balances prior to procedures.
Answer and screen phone calls professionally; document and route messages appropriately.
Maintain accurate electronic and/or paper records in an organized and confidential manner.
Assist with Sfax, EMR documentation, forms, and administrative tasks related to surgery scheduling.
Communicate urgent needs, concerns, or schedule conflicts to leadership promptly.
Perform other duties as assigned to support surgery center operations.

Required Skills & Qualifications

Minimum of 3 years of experience in a healthcare setting scheduling surgeries or procedures.
Strong understanding of surgical workflows, pre-operative requirements, and post-operative coordination.
Experience obtaining prior authorizations and working with insurance companies.
Knowledge of healthcare terminology, CPT codes, ICD-10 codes, and insurance requirements.
Strong attention to detail and ability to manage complex scheduling needs.
Excellent written, verbal, and telephone communication skills.
Ability to communicate with compassion, professionalism, and confidence.
Strong organizational, time-management, and problem-solving skills.
Ability to manage multiple priorities in a busy, fast-paced surgical environment.
Proficiency with EMR systems, electronic fax systems, and general office technology.
Ability to maintain strict confidentiality and follow HIPAA standards.
Professional demeanor and commitment to exceptional patient care.

Preferred Experience

Surgery center or specialty surgery scheduling experience strongly preferred.
Plastic surgery, hand surgery, orthopedic, ENT, or other procedural specialty experience preferred.
Experience coordinating with hospitals, outside facilities, surgical assistants, vendors, and insurance carriers.
Experience collecting patient payments and communicating financial expectations.
Familiarity with OSHA, HIPAA, and healthcare compliance standards.
Ability to work under minimal supervision while maintaining accuracy and accountability.
Positive, team-oriented attitude with a commitment to collaboration and patient-centered care.

Physical Demands

General office environment. This position requires frequent computer use, phone communication, sitting, standing, and use of standard office equipment.

Work Environment

Professional, climate-controlled surgery center and medical office environment.

Pay: $25.00 - $28.00 per hour
