Full Job Description

Aya Healthcare has an opportunity for an Executive Assistant to support a 12-week contract assignment with a dynamic healthcare teaching facility in Portland, OR!

Assignment Details

Start: As soon as possible
Schedule: Onsite, Mon–Fri, 8am–4:30pm
Pay: $31–$34/hour
Length: 12 weeks
Onboarding: 1-2 weeks
Time off requests will not be approved during the assignment.

Required Experience

Four years of clerical/secretarial experience, which includes one year of work supporting a senior-level executive utilizing highly developed organizational skills;

An Associate’s Degree or certificate in Office Occupations or Office Technology and three years of secretarial experience;

A Bachelor’s Degree and two years of secretarial experience.

Summary for Executive Assistant:

The Executive Assistant (EA) provides executive and administrative support to the executive leadership team. This position is responsible for a variety of administrative activities, including calendar management, logistics coordination, and support for executive meetings and events. This position coordinates travel arrangements, expense reports, and reconciliation of Pcards, and provides back-up administrative support to other senior-level executives within the team. The EA is a member of the Administrative Team and contributes to the overall administrative support of the office.

Responsibilities of Executive Assistant:

Manages complex scheduling priorities and coordinates day-to-day activities for executives.
Advises executives of commitments and obligations.
Arranges group and individual meetings with facility officials, and external collaborators and partners.
Reviews and sorts incoming mail for executives and determines the disposition of written communications.
Researches information required for directors’ projects and prepares and designs documents for PowerPoint presentations.
Provides front desk coverage. This involves greeting guests, answering the main office line, and distributing incoming and outgoing mail.
Assists with the team's events and visiting guests. This involves managing logistics, catering, distributing invitations, and developing visit schedules with input from the executive leadership team.
Attends and coordinates meeting agendas, notices, follow-up action items, and meeting notes for the team's meetings led by leadership.
Sets up A/V equipment for hybrid meetings, presentations, and materials for electronic distribution.
