Full Job Description

POSITION SUMMARY

We are seeking a motivated and detail-oriented individual to join our team in an Administrative Support Role for the Specialty Market Floral Program (SMFP). This role will involve a combination of data entry tasks and assisting with the purchasing process for SMFP. The ideal candidate will have strong organizational skills, accuracy, and a passion for the floral industry.

Schedule: Monday - Friday

ESSENTIAL FUNCTIONS

· Consolidation of weekly SMFP order guides and creation of fulfillment resources to support SMFP warehouse team including order guide fulfillment tabs, receiving checklists, etc.

· Proficiency/capacity to learn Komet and NetSuite programs to support warehouse receiving team and bouquet division (weekly pre-books, allocations, invoicing and stickers).

· Support SMFP purchasing by accurately inputting weekly orders, facilitate creation of order pre-books and/or direct purchase order from weekly order guides, AWB, grower credits and invoice reconciliation (location 04) into KOMET system.

· Support SMFP bouquet production in the PNW through weekly recipe summation and ingredient procurement, communication with bouquet production vendors regarding changes/subs in weekly recipes.

· Responsible for tracking weekly orders through various delivery channels to ensure order fulfillment.

· Process customer credits for SMFP in Komet.

· Support customer order input in Komet and NetSuite.

· Support updates and maintenance of item database.

· Frequently communicate with cross functional teams throughout the organization to support SMFP operational needs.

· Assist with inventory management and tracking.

· Prepare reports and summaries as needed.

· Assist with quality control and product inspections.

· Effectively manage daily workload to ensure deadlines are met.

· Professional attitude; effective interpersonal communication skills; attention to detail; dependability.

SKILLS

· Ability to learn and gain proficiency in KOMET software.

· Ability to learn and gain proficiency in NetSuite software.

· Proficiency in Microsoft Office Suite (Excel)

· Proficient in Google Sheets

· Knowledge of inventory management systems.

· Numpad and literacy

· Effective verbal and written communication

· High level of attention to detail

· Ability to support effective and efficient problem solving

· Experience in the floral industry or related field a plus.

MINIMUM QUALIFICATIONS

· High School Diploma or equivalent

· Proficiency with Microsoft Suite

· Flexible work schedule

WORKING CONDITIONS

· This position operates in an office environment (70%) and a warehouse facility (30%)

· Involves: long periods of sitting; frequent stooping, and bending

· This position routinely uses standard office equipment

· Fun and fast-paced work environment.

Pay: $22.00 - $25.00 per hour
