General Overview
The position of Cross Functional Administrator is responsible for the support of the various departments within the Administration department. Is responsible for a full range of financial record keeping transactions to support daily transactional requirements. This position will be responsible to support aspects of Customer Service Sales support and contract management. This will include performing various duties associated with several departments within the Supply Chain: Sales, Production, Quality Assurance, Logistics and Accounting. This position reports to the Orland Site Manager.
If an absence in this position occurs, the Orland Site Manager, or designated employee, assumes the duties and responsibilities.
Essential Functions
Coordinate all logistics of product movement; purchasing, custom processing, domestic and export shipments. Responsible for all correspondence and communications pertaining to dispatching and scheduling of product loads.
- Tracks vessels for first receiving, container in gating and rail schedules.
- Approve equipment for shipment. Review and advise on short or delayed shipments corresponding with Customer Service and/or trucking companies of special handling needs or charges.
- Issue daily dispatch to intermodal companies and coordinate with Production, Logistics, Quality Assurance and Customer Service. Communicate all changes to Customer Service.
- Confirm inventory assignment to all processed orders meet contract specifications. Verify total pounds shipped balances with assigned inventory. Make necessary adjustments to inventory pounds in the system.
- Evaluate fumigation requirements and coordinate with Warehouse Supervisor.
- Assist the dock operations to balance all shipments ensuring all loads leave Select Harvest legal with the proper weight of product.
- Verify and/or issue required documentation/ Phytosanitary certificates to meet individual customer specifications.
- Post invoices into Accounting system according to company processes
- Strong attention to detail with the ability to multi task and work cross functionally within the Supply Chain: Sales, Production, Quality Assurance, Logistics and Accounting.
- Expected to promote internal customer service by supporting the Administration team in its efforts to promote prosperous relationships with our existing client base
- Ability to review shipping instructions/purchase contracts. Distribute electronic copies of contracts and ensure that Select Harvest receives returned signed copies.
- Ability to review customer shipping instructions/purchases orders are acquired from customer for production and input into company system promptly with an acute attention to detail.
- Secures bookings from shipping lines per customer and Sales instructions.
- Monitor system reports Balance to Ship by Contract and Order Detail by confirmed Ship Date constantly monitoring contract compliance.
- Support incoming Grower Receiving. Train seasonal weighmasters to properly weigh, document and record in operating system grower incoming lots and intercompany transfers.

Typical Work Hours / Schedule
This position is a full-time, hourly, non-exempt position with a standard 40-hour workweek, Monday through Friday 7:00 a.m. to 3:30 p.m., overtime as needed by management approval. During season shift hours/days and required overtime may be adjusted to fit business need.
Travel
No regular travel required for this position. The exception would be offsite trainings in own vehicle with possibility of overnight stay. You will be reimbursed for all authorized travel expenses; per diem and mileage reimbursement as per current government rates. Company will reimburse hotel expenses at 100% with prior manager approval.

2. Required (or Preferred) Education, Licensing and Experience
· Administration or 3-5 years’ experience in equivalent experience role.
· Must be a self-directed and consistently able to provide great customer service.
· Must have data entry, reporting, and administrative writing skills.
· Must be driven to achieve set goals; self-starter and self-directed.
· Must have the ability to execute consistent excellent work; analytical ability to cut to the core issues amidst piles of data; ability to handle complexity/good judgement.
· Ability to develop strong working relationships with all employees.
· Must have the ability to communicate effectively, both written and verbally; communicate clearly and concisely with internal and external employees/customers. Must exhibit cultural awareness and sensitivity, and have excellent attention to detail.

· Must be able to use all MS Office products proficiently,
