Full Job Description

SUMMARY

Compiles data and creates payable invoices by performing the following duties.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned as needed.

Responsible for invoicing customers through various software systems adhering to company’s policies and accounts terms. Distribute invoices to customers via email or mail as instructed.
Posts transactions to accounting records such as work sheet, ledger, or computer files, including inventory logs; uploads invoices to web-based portals for subsequent payments to the company.
Issues credit memorandums to indicate returned or incorrectly billed invoices. Issues credit forms for customers; makes invoice corrections as needed.
Assists customers with inquiries, such as invoices, payments, terms, pricing, and queries.
Process credit card payments on both in-house software as well as point of sales as needed.
Maintains and updates proper record keeping of billing related documents, such as but not limited to, invoices, fuel bill of lading, credit card transactions, check payments, PO number requests.
Answer phones and assist with customer service matters as needed. Answer phone calls and redirect accordingly. Maintains strong, positive relationships with existing internal and external customers.

QUALIFICATIONS

Strong understanding of checks and balances as well as auditing and compliance of best accounting practices is needed. EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. Must have prior customer service experience. Basic working of knowledge of Excel and Windows environment is preferred.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
