Full Job Description

We are seeking an experienced and detail-oriented Event Execution Specialist to oversee large-scale projects from inception through completion. This role is responsible for managing timelines, resources, budgets, and cross-functional teams to ensure projects are delivered on time, within scope, and to the highest quality standards. The ideal candidate excels in a fast-paced, creative environment and possesses a strong ability to balance strategic planning with hands-on execution.

Key Responsibilities

· Manage projects through the full lifecycle, from initial concept and planning to execution and close-out

· Serve as the primary point of contact for internal teams and stakeholders throughout each project

· Develop and maintain detailed project schedules, budgets, and production timelines

· Coordinate with sales, design, production, purchasing, and installation teams to ensure seamless execution

· Track project progress and proactively identify risks, issues, and solutions

· Oversee logistics, labor planning, and on-site execution for large-scale installations as needed

· Travel as needed to support and oversee on-site installations, including out-of-town or overnight travel

· Ensure all project deliverables meet company quality, safety, and brand standards

· Maintain accurate project documentation and post-project reporting

· Support continuous improvement by identifying opportunities to streamline processes and enhance efficiency

Qualifications

· Proven experience as an Event Execution Specialist, preferably in events, production, décor, fabrication, or a related industry PREFERRED

· Strong organizational, communication, and leadership skills

· Ability to manage multiple large projects simultaneously under tight deadlines

· Experience working with budgets, schedules, and cross-functional teams

· Comfortable in both office and on-site environments, including event venues

· Proficient with project management tools and Microsoft Office (or similar platforms)

· Detail-oriented with a proactive, solution-driven mindset

Preferred Qualifications

· Experience in luxury events, custom fabrication, or large-scale installations

· Familiarity with production workflows and installation logistics

· PMP or other project management certification (a plus, but not required)

Pay: $32.00 - $37.00 per hour
