We’re hiring an Executive Assistant to CEO & Listing Operations Manager to work directly alongside Jason Asa, CEO and Owner of The Asa Team — one of Central Florida’s top-producing real estate teams. (A real estate license is NOT required for this position)!
This is not an entry-level admin role. This is a high-accountability, high-ownership position for someone who knows how to support a high-performing entrepreneur, anticipate what needs to happen before being asked, protect an executive’s time, and keep priorities moving without constant direction.
You’ll be responsible for helping Jason operate at his highest level while also taking significant ownership of the listing side of his real estate business — from preparing for listing appointments through active listing management, contract-to-close oversight, and post-closing follow-up.
You do not need previous real estate experience, and a real estate license is not required. We would rather teach real estate to an exceptional Executive Assistant than hire someone with industry experience who lacks the judgment, initiative, organization, and follow-through this role requires.

What You’ll Own
- Executive Support to the CEO
Your first responsibility is helping Jason stay focused on the people, decisions, and activities that create the greatest impact.
You will:
- Proactively manage Jason’s calendar, appointments, meetings, priorities, and schedule
- Protect his time and make sure revenue-producing activities receive priority
- Confirm appointments and prepare Jason for meetings before he needs to ask
- Build appropriate travel, preparation, and transition time into his schedule
- Manage Jason’s inbox and ensure important communication and action items are handled promptly
- Conduct daily priority check-ins and maintain visibility on outstanding commitments
- Anticipate what Jason will need before he asks for it
- Follow up with clients, leads, team members, vendors, and business partners on his behalf
- Monitor Follow Up Boss and make sure high-priority leads, clients, and follow-up tasks are not being missed
- Keep key priorities, dashboards, active opportunities, and loose ends organized and visible
- Maintain organized records, receipts, documents, and business information
- Identify problems early and proactively create solutions
- Hold Jason accountable to commitments, deadlines, and priorities
Executive Life Management
The line between business and personal logistics is intentionally fluid in this role.
You will also help manage the details surrounding Jason’s life that allow him to stay focused on clients, leadership, and growth, including:
- Travel and flights
- Accommodations and reservations
- Dinners and events
- Gifts and birthdays
- Personal appointments
- Errands and logistics
- Advance planning and reminders
- Other personal responsibilities that naturally fall within the role of a CEO’s right hand

Listing Operations
As you learn our systems, you’ll take significant ownership of Jason’s personal listing business — from pre-list preparation through closing.
This is not a data-entry role. You are responsible for knowing what is happening with every active listing, keeping sellers informed, coordinating the moving parts, and identifying what needs Jason’s attention before he has to ask.
You will:
- Prepare Jason for listing appointments, including comps, CMA information, seller details, and listing materials
- Coordinate pre-list timelines, photography, staging, vendors, lockboxes, paperwork, and launch preparation
- Review MLS and marketing materials for accuracy and ensure listings go live correctly and on schedule
- Serve as a primary operational point of contact for sellers and conduct weekly updates
- Monitor showing activity, buyer feedback, online performance, competing listings, and market movement
- Identify recurring objections or performance issues and prepare market context for strategy conversations with Jason
- Coordinate open houses, vendors, access, seller logistics, and listing communication
- Organize incoming offers and make sure Jason has the information needed to evaluate terms and make recommendations
- Coordinate communication, counteroffers, inspections, repairs, credits, appraisal issues, and other contract matters under the direction of licensed team members
- Work closely with the Transaction Coordinator to track milestones, resolve issues, and keep sellers informed through closing
- Coordinate closing logistics, key handoff, lockbox removal, gifts, reviews/testimonials, and post-closing follow-up
You should know what is happening with Jason’s listings before Jason asks.
You own awareness, communication, escalation, and follow-through.
*Any activity requiring a real estate license will be handled by or under the direction of the appropriate licensed team member. A real estate license is not required for this position.
You Will NOT Be Doing This Alone
This role has real support around it.
Two dedicated Virtual Assistants assist with functions including:
- MLS and listing input
- Listing marketing
- Photography and media coordination
- Showing coordination and feedback tracking
- CRM data entry and task preparation
- Offer organization
- Contract timeline tracking
- Lead and database organization
- Open house marketing
- Administrative listing support
We also have a dedicated Transaction Coordinator who manages detailed contract-to-close coordination.
You are not being hired to recreate their jobs.
Your role is to lead, oversee, review, interpret, communicate, prioritize, and make sure the right things happen at the right time.
You are the human right hand connecting Jason, our clients, and the operations team.

Real Estate Experience
Real estate experience is preferred, but NOT required.
Experience as a listing manager, listing coordinator, transaction coordinator, real estate operations professional, or Executive Assistant within real estate is a plus.
If you are exceptional at executive support and managing a high performer, we can teach you our real estate systems and workflows.
A real estate license is not required.

Schedule & Work Environment
This is a primarily in-person role based in Baldwin Park, Orlando, FL 32814.
You should expect to work alongside Jason in the office most days.
Afternoon hours can be flexible depending on Jason’s schedule, and occasional work-from-home days may happen when the schedule allows.
Evening and weekend availability is required. This does NOT mean you will work every evening or every weekend. It does mean the right person understands that supporting a high-volume real estate CEO occasionally requires handling important situations when the business requires it.
Real estate does not operate exclusively between 9:00 AM and 5:00 PM. Offers arrive at night. Sellers have questions on weekends. Travel changes. Closings move.
Compensation & Benefits
Salary: $70,000–$85,000 per year, based on experience within that range.

This compensation reflects the level of ownership expected in the role: executive support, seller-facing listing operations, oversight of support staff, and responsibility for keeping Jason and his business moving.
