Full Job Description

Job Overview:

Primoris Distribution Services is seeking a highly organized and detail-oriented Construction Administrative Assistant to support our project management and field operations teams. This role is responsible for coordinating administrative functions, maintaining project documentation, assisting with reporting and scheduling activities, and ensuring the efficient day-to-day operation of construction projects.

Our Orlando office is located at 4777 Old Winter Garden Rd, Orlando FL 32811.

The ideal candidate is proactive, organized, customer-focused, and capable of effectively managing multiple priorities in a fast-paced environment.

Key Responsibilities

Provide administrative support to project managers, supervisors, and field personnel.
Maintain and organize project documentation, permits, correspondence, and records in both physical and electronic formats.
Track project milestones, deadlines, and status updates.
Assist with the preparation and distribution of project reports and documentation.
Coordinate meetings, site visits, and project-related appointments.
Update and maintain project databases, spreadsheets, and tracking logs.
Serve as a professional point of contact for customers, subcontractors, vendors, and internal stakeholders.
Assist with processing and tracking daily field paperwork and related administrative activities.
Support project closeout activities and document collection.
Maintain office organization and filing systems for efficient document retrieval.
Manage office supplies and coordinate maintenance of office equipment.
Provide administrative support for safety compliance and reporting activities as needed.

Qualifications

Required Skills

Excellent customer service skills, both in person and over the phone.
Strong verbal and written communication abilities.
Ability to prioritize work and manage multiple tasks simultaneously.
Strong attention to detail and organizational skills.
Ability to identify issues and assist with timely resolution.
Proficiency in Microsoft Office applications, including Word, Excel, and Outlook.
Ability to maintain confidentiality and handle sensitive information professionally.
Strong time management skills and the ability to consistently meet deadlines.
Adaptability in a dynamic environment with changing priorities.

Education & Experience

High school diploma or equivalent required.
Previous administrative, construction administration, project coordination, or office support experience preferred.
Intermediate computer proficiency required.
Experience working in a construction, utility, engineering, or field operations environment is a plus.
Working knowledge of Sunshine 811, including submitting and coordinating locate requests (preferred).
