Job Summary
The Admissions Advisor for the School of Dental Medicine serves as the primary recruiter and admissions representative for prospective dental students. This position is responsible for identifying, recruiting, advising, and guiding prospective students through the admissions process from initial inquiry through matriculation. The Admissions Advisor represents the School of Dental Medicine at recruitment events, college fairs, universities, professional conferences, and community outreach programs to promote the University's Doctor of Dental Medicine (DMD) program and achieve enrollment goals.
The Admissions Advisor provides exceptional customer service while ensuring compliance with institutional policies, accreditation standards, and admissions requirements.
Essential Duties and Responsibilities
- Serve as the primary point of contact for prospective dental students throughout the admissions process.
- Counsel prospective students regarding admissions requirements, prerequisite coursework, application procedures, tuition, financial aid resources, and enrollment timelines.
- Build and maintain relationships with prospective students from inquiry through enrollment.
- Manage assigned recruitment territories and applicant caseloads.
- Conduct individual admissions appointments in person, virtually, and by telephone.
- Evaluate applicant files for completeness and communicate outstanding admissions requirements.
- Maintain consistent follow-up with prospective students using the University's Customer Relationship Management (CRM) system.
- Represent the School of Dental Medicine at recruitment events including:
- College and university recruitment fairs
- Graduate and professional school fairs
- Career fairs
- Community outreach events
- Dental association meetings
- Professional conferences
- Campus open houses and information sessions
- Develop and maintain relationships with pre-health advisors, pre-dental clubs, community colleges, universities, and professional organizations.
- Conduct presentations regarding the School of Dental Medicine's academic programs and admissions requirements.
- Coordinate and assist with interview days, applicant visit days, orientation programs, and recruitment events.
- Collaborate with Financial Aid, Student Affairs, Academic Affairs, Marketing, and faculty to provide an exceptional applicant experience.
- Maintain accurate admissions records within the University's Student Information System (SIS) and CRM.
- Assist with recruitment planning and implementation of enrollment initiatives.
- Monitor recruitment metrics and prepare periodic reports.
- Remain knowledgeable regarding accreditation standards, admissions policies, and industry best practices.
- Perform other duties as assigned.
Minimum Qualifications
- Bachelor's degree from an accredited institution.
- 3 (3) years of experience in admissions, recruitment, enrollment management, higher education, healthcare recruitment, sales, or customer service.
- Excellent verbal, written, and interpersonal communication skills.
- Strong presentation and public speaking abilities.
- Exceptional customer service and relationship-building skills.
- Strong organizational and time management skills.
- Ability to prioritize multiple projects while meeting deadlines.
- Proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Ability to learn and utilize Student Information Systems (SIS) and Customer Relationship Management (CRM) software.
- Ability to work independently and collaboratively within a team environment.
- Valid Florida Driver's License with a satisfactory driving record.
- Ability to travel locally, throughout the State of Florida, and occasionally outside the state for recruitment activities, conferences, and professional meetings.
- Ability to work occasional evenings and weekends as required.
Preferred Qualifications
- Professional admissions or enrollment management experience in higher education.
- Experience recruiting graduate or professional students.
- Experience working within a School of Dentistry, College of Health Sciences, Medical School, Pharmacy School, or other professional healthcare program.
- Experience with ADEA AADSAS or other centralized application services.
- Experience using CRM platforms such as Slate, Salesforce, Jenzabar, Campus Nexus, or similar systems.
- Bilingual (English/Spanish; English/Portuguese or English/Haitian Creole) preferred.

Physical Requirements
- Ability to sit, stand, and walk for extended periods.
- Ability to lift and transport recruitment materials weighing up to 30 pounds.
- Ability to travel by automobile and commercial transportation as necessary.
- Ability to set up and dismantle recruitment displays and exhibit materials.
Work Environment
- This position operates in both office and field environments. Regular travel is required to colleges and universities, recruitment fairs, professional conferences, community outreach events, and other recruitment activities. Evening and weekend work is required during peak recruitment cycles.
