Overview
We are seeking a highly organized and proactive Executive Assistant to support our leadership team and ensure smooth daily operations within our dynamic office environment. This role offers an exciting opportunity to be at the heart of our organizations, managing a wide range of administrative and clerical tasks with energy and precision. The ideal candidate will bring exceptional organizational skills, strong communication abilities, and a positive attitude to help drive efficiency and foster a professional atmosphere.

Responsibilities

Manage calendars, schedule appointments, and coordinate meetings for teams and committees , ensuring optimal time management.
Handle calls with professionalism and excellent phone etiquette, directing inquiries appropriately.
Prepare, proofread, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
Maintain accurate filing systems, data entry records, and document management processes to ensure easy retrieval of information.
Support general office operations.
Must be able to research requested new projects and have them move forward to completion
Assist with bookkeeping activities using QuickBooks or similar software to track expenses and manage invoices.
Provide exceptional customer service by supporting clients, visitors, and internal teams with professionalism and courtesy.
If necessary,Coordinate travel arrangements, calendar management for executives, and personal assistant responsibilities as needed.
Perform clerical duties including typing documents swiftly, proofreading for accuracy, and maintaining organized records.
Proven experience as an executive assistant or in a similar administrative role within an office setting.
Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools.
Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
Excellent communication skills—bilingual abilities are a plus—and professional phone etiquette.
Experience with office management tasks such as filing systems, bookkeeping
Previous clerical experience including proofreading documents, handling customer support inquiries, and managing schedules effectively.
