Osawatomie State Hospital is licensed by the State of Kansas to provide care and treatment for adults diagnosed with psychiatric disorders regardless of ability to pay. There are currently two hospitals on the Osawatomie campus in Miami county: Osawatomie State Hospital (OSH) and Adair Acute Care (AAC). Adair Acute Care is about a 45-bed facility, certified by the Centers for Medicare and Medicaid Services.
Position is located at Osawatomie State Hospital, days/hours may vary. This position may require you to work weekends. A negative drug screen is required as a condition of employment.
All employees are expected to work in a harmonious and cooperative fashion with other staff to provide efficient and effective customer service: to use free time as available to assist other staff in the completion of work assignments and perform other tasks as needed; to contribute to a positive work environment through a positive, helpful, courteous demeanor towards staff, customers, and the general public; and to adhere to appropriate standards of conduct regarding the use of leave, reports to work on time and in the designated fashion.
The purpose of the Administrative Officer is to provide administrative support to the Superintendent of the Osawatomie State Hospital. This position also functions as the first contact for the Superintendent’s Office and is responsible for critical decision making with regards to guiding and directing persons contacting this office to the appropriate place in the organization. The decision that this person makes has high level impact on how the office of the Superintendent is perceived and how it is operated. The employee in this position generally receives indirect supervision and must be able to make independent decisions that reflect positively on the Superintendent and to assure that critical operations are assigned and carried out.
Osawatomie State Hospital Adair Acute Care is funded in part by the Centers of Medicare and Medicaid Services and is subject to requirements bestowed by Federal and State levels of government conditions of participation.
Position Summary & Responsibilities
Position Summary: To provide administrative support to the Superintendent of the Osawatomie State Hospital. This position also functions as the first contact for the Superintendent’s Office and is responsible for critical decision making with regards to guiding and directing persons contacting this office to the appropriate place in the organization. The decision that this person makes has high level impact on how the office of the Superintendent is perceived and how it is operated. The employee in this position generally receives indirect supervision and must be able to make independent decisions that reflect positively on the Superintendent and to assure that critical operations are assigned and carried out.
Job Responsibilities may include but are not limited to the following:
- This incumbent ensures the efficient operation of the Superintendent’s office.

Serve as the initial point of contact for the Superintendent’s office by answering phone calls and welcoming visitors.

Exercise independent judgement to discern matters requiring immediate attention of the Superintendent and efficiently prioritize inquiries and requests.

Demonstrate an understanding of the hospital’s organization structure to provide knowledgeable referrals to departmental leaders or staff when necessary, ensuring effective communication and collaboration within the organization.

Exercise discretion and sound judgement in overseeing the Superintendent’s schedule, including the initiation, and rescheduling of meetings as needed. Efficiently receive, analyze, and route all incoming mail and paperwork within the office, prioritizing tasks to meet deadlines.

Directs all other inquiries and traffic to the appropriate department heads before reaching the Superintendent, ensuring efficient workflow and prioritization. As a primary greeter, the incumbent must maintain a positive attitude and presentation for both internal and external visitors to the Superintendent.

Develops and maintains a comprehensive system for proper storage and easy retrieval of meeting minutes, ensuring compliance with regulatory requirements. Guarantees that all minutes are organized, complete and readily accessible for surveys, and audits.

Serves as the central point of contact for multiple committees, including the Administrative Executive Committee, Citizen’s Advisory Board, Governing Body, Leadership meetings, and any incident command meetings.

Oversees the tracking and follow-up of action items originating from assigned committees, ensuring timely completion and reporting in accordance with applicable regulatory standards or as directive by the Superintendent.

This incumbent participates in the Employee Appreciation Committee to assist in promoting employee engagement and participation in appreciation events, to foster a positive and supportive workplace culture on behalf of the Superintendent’s office.

Prepares, maintains, and distributes reports as assigned by the Superintendent.

Completes special projects and assists other departments within the administration building as required (e.g., Accreditation, Risk Management, Medical Services, Performance Improvement, etc.).

Prepare agendas, materials, and other items as necessary related to the presentation being provided by the Superintendent. Advise the Superintendent on issues needing his/her attention.

Maintains and updates computer and general office skills, as well as personal growth, by participating in in-service training annually relating to this administrative position.

Demonstrates continued competency to provide quality support by attending and participating in annual mandated agency training, job related programs, both generally and as required on their annual performance review.
Qualifications
Minimum Qualifications: Four years of experience in general office, clerical or administrative support work.
Preferred Qualifications:
- Minimum of two years of experience providing administrative support to executive-level staff.

Minimum of two years of experience working in a hospital setting, including taking accurate meeting minutes and demonstrating strong organizational and time management skills.

Demonstrated proficiency with Microsoft Office applications, including Word, Excel, PowerPoint, and other related programs
