Overview

We are seeking a highly organized and detail-oriented Administrative Legal Assistant to join our team. This role offers an opportunity to utilize your current skills and/or learn new skills. The Assistant will support a wide range of legal functions across multiple practice areas, including estate planning, family law, business law, litigation, and more. The ideal candidate will be proactive, possess excellent communication skills, and demonstrate a strong understanding of word processing. The Assistant will receive paid training for legal processes and legal document systems. This paid position is perfect for someone eager to develop their legal administrative expertise while contributing to impactful legal work in a fast-paced environment.

Duties

Provide comprehensive executive administrative support to attorneys, including calendar management, scheduling meetings, and coordinating appointments.
Manage and organize legal documents using document management systems, ensuring accuracy and confidentiality.
Draft, proofread, and review legal documents such as contracts, pleadings, discovery materials, and correspondence with precision and clarity.
Conduct thorough document review and data entry to facilitate case management and ensure compliance with procedural law requirements.
Support litigation processes by preparing case files, filing documents with courts, and maintaining detailed records of case activities.
Assist in client interviews by gathering relevant information efficiently while maintaining professionalism and confidentiality.
Maintain excellent phone etiquette while handling inquiries from clients, vendors, or court personnel with professionalism.
Organize files systematically for easy retrieval and ensure all documentation complies with firm policies and legal standards.

Qualifications:

Proven experience in office procedures.
Excellent writing skills with the ability to draft clear documents; meticulous proofreading is essential.
Demonstrated organizational skills with the ability to manage multiple priorities efficiently in a fast-paced setting.
Strong clerical skills including data entry, filing, phone etiquette, transcription, and general administrative tasks.
Ability to work independently while collaborating effectively within a team environment.
Ability to qualify to act as a Notary Public.
Proven experience as a paralegal or legal assistant within a busy law office environment is a plus but not necessary.
