Job Summary

Spark Equity Group is a fast growing, multi division real estate investment and operating company based in Tulsa, Oklahoma. We acquire and operate industrial, residential, and commercial real estate, and we run the full stack in house across our Spark Homes, Spark Industrial, and related divisions. We move fast, we build things ourselves, and we put AI at the center of how we operate.

We are hiring a high capacity Executive Assistant to support our Founder and the broader team. This is the Swiss army knife role that keeps a fast moving founder and a growing company on the rails: admin, scheduling, project coordination, communication, and follow through, plus whatever else the day throws at us. A lot of this job is admin plus the random projects, big and small, that fall between the cracks for other team members. You are the person who catches them and gets them done.

Just as importantly, this is a role for someone who wants to work alongside AI. We expect our EA to use modern AI tools daily to work faster, and your comfort and skill with those tools directly affects both what you can accomplish and where you land in the pay range.

Responsibilities

Manage calendars, scheduling, email triage, and day to day administrative support for the Founder.
Coordinate projects across the team: keep tasks moving, chase down owners, and track deadlines so commitments are met.
Draft and send communications, organize files and documents, and keep information clean and easy to find.
Handle office operations and logistics: travel, event prep, vendor coordination, errands, and light bookkeeping support.
Own the in between work: the random projects, big and small, that slip between the cracks for other team members. You catch them and get them done.
Use AI tools daily to move faster: draft emails and documents, summarize long threads, organize research, prepare briefings, and automate repetitive admin work.
Handle confidential and financial information with complete discretion and trustworthiness.

What We Are Looking For

Extremely organized, proactive, and trustworthy. You treat other people's time and information with care.
A clear, fast communicator (written and verbal) who can follow up without being annoying about it.
Calm under pressure and genuinely enjoy being the person who gets things done.
Comfortable with Google Workspace and project management software (we use monday.com), and eager to learn our tools quickly.
Already using (or actively learning) AI tools such as ChatGPT, Claude, and similar assistants, and excited to use them to do more, faster.
Able to work independently without a lot of hand holding, and comfortable working directly with a founder.

Nice to Have

Experience in real estate, finance, or operations (a plus, but not required. Attitude and reliability matter most).
Prior executive assistant, office manager, or project coordinator experience.
A track record of building simple automations or workflows with AI or no code tools.

Compensation

This is a full time, W2 position based in our Tulsa office. Compensation is $55,000 to $75,000 per year, based on both experience and AI capabilities. The very first thing we will ask is how you have used AI in your current or previous roles, or outside of work. Candidates who can show they use AI tools to work meaningfully faster and smarter will be positioned at the higher end of the range.
