Full Job Description

SUMMARY

The Accounting Assistant works closely with the Administration Team to support the daily operations of the Human Resources and Finance Departments. Under the supervision of the Director of Finance and Human Resources, this position performs a variety of human resources, payroll, bookkeeping, and accounting duties. Responsibilities include processing payroll, maintaining personnel records, assisting with full-charge bookkeeping, preparing monthly, quarterly, and annual financial reports, and supporting budget preparation and other administrative functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Performs OASIS bookkeeping activities, including payroll, monthly invoices, accounts payable, bank reconciliations, etc.

Responsible for checking the accuracy and processing of payroll on bi-weekly basis, as well as all other payroll related issues

Monitor department’s time records and assist departments with payroll and timekeeping issues.

Maintains filing systems as assigned.

Enter new employees in payroll software.

Retrieves information as requested from records, email, minutes, and other related documents;

prepares written summaries of data when needed.

Maintains personnel records.

Conducts new employee orientations.

Files payroll reports and makes required tax deposits.

Attends in-service and staff meetings as assigned.

Performs other duties as assigned.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Associate degree in Business Administration or equivalent is required.

Ability to understand and meet Federal and State guidelines which are pertinent to the operation of the program.

Must have exceptional organizational skills and the ability to handle details accurately.

Must have at least one year of recent QuickBooks Desktop Experience

Must have at least one year of Excel experience

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, financial reports, professional journals, technical procedures, or governmental regulations and legal documents. Ability to write reports, business correspondence that conform to a prescribed style and format. Ability to effectively present information and respond to questions from supervisor, clients, fellow employees, and the general public.

MATHEMATICAL SKILLS

Ability to calculate figures and amounts such as discounts, interest, and percentages. Ability to apply concepts of basic math and algebra. Ability to understand and apply principles of accounting.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exits. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

CERTIFICATES, LICENSES, REGISTRATIONS

Must hold or be able to obtain a valid Kentucky Driver's License.

Must be a notary or eligible to be a notary.
