Job Summary

We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. In this vital role, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to visitors and clients. Your organizational skills and technical proficiency will ensure smooth office management and efficient communication across departments. This paid position offers an exciting opportunity to be the first point of contact, supporting our team with administrative excellence and fostering a positive environment for all who walk through our doors.

Responsibilities

Greet visitors, clients, and vendors with a friendly, professional demeanor, ensuring a positive first impression.
Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette.
Handle data entry tasks using productivity software such as Microsoft Office, spreadsheets, and word processing tools to maintain accurate records.
Support office management duties including filing, document proofreading, calendar management, and scheduling appointments.
Assist with client communication via email or phone, providing timely responses and support to inquiries.
Maintain organized front desk area and manage office supplies inventory to ensure operational efficiency.
Collaborate with team members to streamline administrative workflows and improve overall office productivity.

Requirements

Proven experience in office administration or clerical roles with strong organizational skills.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with spreadsheets and data entry.
Excellent computer literacy including familiarity with productivity software and technical proficiency in office equipment.
Strong customer service skills with the ability to communicate effectively via phone and in person.
Bilingual abilities are a plus for effective client communication in diverse environments.
Experience managing multi-line phone systems and handling front desk responsibilities preferred.
Demonstrated ability to prioritize tasks efficiently, manage time effectively, and maintain professionalism under pressure.
Previous personal assistant or administrative experience is advantageous for supporting office operations seamlessly.
