Job Overview

We are seeking a dynamic and highly organized Office Manager to oversee the daily operations of our busy office environment. This vital role ensures smooth administrative workflows, maintains efficient communication channels, and supports our team with exceptional organizational skills. The ideal candidate will bring a proactive attitude, technical proficiency, and a passion for creating a productive and welcoming workspace. Responsibilities

Manage front desk activities, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
Oversee office supplies inventory, procurement processes, and filing systems to ensure operational efficiency.
Coordinate calendar management and scheduling for meetings, appointments, and events using productivity software such as Microsoft Office and Google Workspace.
Handle data entry tasks with accuracy using spreadsheets and word processing tools; maintain detailed records and documentation.
Provide customer support by assisting clients via phone or email, ensuring clear communication and prompt service delivery.
Support bookkeeping activities including invoice processing, expense tracking, and basic financial record keeping.
Supervise clerical staff or administrative assistants to ensure timely completion of office tasks while promoting organizational skills across the team.

Qualifications

Proven experience in office management or administrative roles with strong computer literacy across Microsoft Office Suite, Google Workspace, and other productivity software.
Demonstrated proficiency in data entry, filing, proofreading, and document management.
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment.
Strong communication skills in both verbal and written forms; bilingual abilities are a plus for diverse client interaction.
Experience handling multi-line phone systems, calendar management, and front desk responsibilities.
Knowledge of QuickBooks or similar bookkeeping software is preferred; experience with medical or dental receptionist duties is advantageous.
Ability to maintain professionalism with clients and colleagues while managing multiple priorities effectively.
