Overview
We are seeking an experienced auto shop writer to prepare OEM procedure repair plans. The ideal candidate will possess strong auto repair skills, repair v. replace part experience, extensive knowledge of body, structural, suspension, and mechanical parts, including how to place parts orders according to price cost effectiveness and verifying correct parts arrival. A comprehensive understanding of auto insurance and repair plan operations within an auto collision environment is required.
This role involves repair plan writing, parts orders, communication with techs, vendors, customers and insurance companies while managing vehicle files and ensuring exceptional customer service while maintaining operational efficiency.
The auto shop writer will be instrumental in capturing and following jobs in process, managing tech requests for supplements, and fostering a team-oriented work culture to deliver outstanding automotive repair and collision services.
Duties
- Independently write auto repair plans within OEM procedures and its particular insurance rules and guidelines
- Track auto files estimate/supplement approvals to proceed accordingly
- Order parts after a cost effective research and appropriate timeline arrival
- Check and verify correct parts arrival with techs
- Documentation of events, discussion, any communication to the auto files
- Follow daily vehicle repairs, ensuring efficient workflow with techs for urgency to repair cycles and high-quality service delivery
- Continual communication with insurance companies to verify coverage and deductibles, set up inspections, request estimate/supplement copies and secure proof of payments
- Provide techs with supplement writing approvals and parts order to continue repair plans
- Communicate workflow priorities and cycle time with technicians
- Oversee parts orders at a cost effective level and within insurance approvals and verify correct parts arrival with techs
- Prepare final repair invoice bills with totals and warranty to communicate to vehicle owners at pick up
- Handle cash, bank and POS transactions with accuracy and receipt tracking giving accountability to office manager
- Implement pricing strategies and manage initiatives to capture jobs and meet business targets
- Help maintain shop responsibilities such as organizing the shop environment
- Ensure compliance with safety standards for employees and shop environment and maintain a clean and organized work area
- Follow marketing strategies to attract new customers and retain existing clients
- Manage and document requests for time off for staff to optimize productivity while maintaining excellent customer service standards
- Utilize communication skills to coordinate between techs, vendors, and customers effectively
- Monitor budget adherence and perform administrative tasks related to repair plans
Experience
- Proven auto repair experience in an auto collision environment with some supervisory responsibilities
- Experience as an auto estimator/supplement writer independently with knowledge of different insurance companies guidelines and rules
- DRP/PPO experience preferred as well as OEM certifications
- Knowledge of communication and negotiation skills between auto insurance companies and shop
- Demonstrated ability in customer service excellence and phone etiquette including handling dispute resolution
- Multilingual or bilingual abilities are preferred to serve diverse customer bases effectively in out area
- Strong organizational skills with effective time management capabilities
- Excellent leadership skills with the ability to motivate and maintain cycle times
- Experience in developing plans to prioritize cycle times for rentals
- Experience with POS systems, retail math, pricing strategies with insurance companies
- Strong background in inventory control, purchasing, cash handling
