Job Summary
We are seeking a dynamic and organized Office Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the smooth and efficient functioning of our office environment. Your energetic approach and attention to detail will support various administrative functions, enhance customer interactions, and maintain a professional atmosphere. Responsibilities

Greet visitors and manage front desk duties with professionalism and warmth, creating a welcoming environment for clients and staff alike
Handle multi-line phone systems, directing calls accurately and providing excellent customer service with proper phone etiquette
Manage calendar appointments, schedule meetings, and coordinate events using Microsoft Office and Google Workspace tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization across all records
Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
Assist with office management duties such as supply ordering, maintaining office equipment, and organizing files for easy retrieval
Provide administrative support including typing correspondence, managing emails, and supporting personal assistant tasks as needed

Requirements

Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Familiarity with QuickBooks or other bookkeeping software is highly desirable
Excellent computer literacy with the ability to learn new systems quickly
Strong communication skills with professional phone etiquette; bilingual abilities are a plus
Previous experience working at a front desk or as a receptionist in medical or dental settings is preferred
Demonstrated ability to multitask efficiently while managing time effectively in a fast-paced environment
Experience in customer service roles with a focus on customer support and problem-solving skills
