Position Overview
Kingdom Minded Builders Financial is seeking a highly organized, professional, motivated, and dependable Baseshop Coordinator (Insurance Office Administrator) to support the day-to-day operations and continued growth of our financial services organization.
This position goes beyond traditional administrative work. You will work closely with KMB leadership, insurance agents, recruits, clients, and insurance carriers to help keep our business organized and moving efficiently.
The ideal candidate enjoys working with people, managing details, solving problems, learning new systems, and taking ownership of responsibilities.
As the Baseshop Coordinator (Insurance Office Administrator), you will serve as a central point of contact within the organization, assisting with administrative functions, agent support, licensing, insurance case management, policy placement, production tracking, communication, meetings, and other operational needs.
State Insurance Licensing and CRM Requirement
Because this position will assist with insurance operations and may be required to place and process insurance policies, the selected candidate must obtain the appropriate state insurance producer license.
Customer Relations Management System Requirement
The CRM system is essentially the central database used to organize, track, and follow up with people and business activity.
The CRM tracks:
· Prospects & recruits — who have been contacted, follow-up dates, appointments, and recruiting status.
· New agents — onboarding, licensing progress, exam dates, training, and appointments.
· Clients & leads — contact information, appointments, follow-ups, and notes.
· Insurance cases — applications submitted, underwriting status, outstanding requirements, approvals, and policy delivery.
· Follow-up activity — reminders for calls, texts, emails, appointments, and next steps.
· Team activity — production, recruiting activity, attendance, and other performance information.
No previous insurance experience or current insurance license is required to apply. Training and guidance will be provided.
The selected candidate must be willing to:
Complete the required pre-licensing education and training.
Study for and pass the applicable state insurance licensing examination.
Complete the state licensing application and required steps.
Invest approximately $199 toward activating their CRM system.
Complete the licensing process within the 30-day timeframe established by KMB.
Maintain the required license and continue education once licensed.
KMB will provide training, resources, guidance, and support throughout the licensing process.
Key Responsibilities
Assist with insurance applications and case processing; communicate and follow up with insurance carriers regarding outstanding requirements and underwriting; track cases from application through issue and delivery; maintain organized client and policy records; monitor policy placement and production activity; and assist with licensed insurance activities once properly licensed.
Licensing & Agent Development
Assist License Coordinator with new agents with the licensing process; track pre-licensing class and examination progress; help coordinate licensing applications and carrier appointments; monitor licensing deadlines and outstanding requirements; assist with continuing education tracking; and consistently follow up with agents throughout the licensing process.
Administration & Office Operations
Maintain calendars, spreadsheets, databases, reports, files, and business records; prepare and organize paperwork; assist with scheduling meetings, appointments, and training; monitor deadlines and follow-up items; maintain attendance and production records; assist leadership with administrative projects; and help ensure daily office operations remain organized and efficient.
Agent Onboarding & Communication
Welcome and assist newly recruited agents; provide information regarding training schedules, resources, and company processes; help coordinate new agent orientations; serve as a point of contact for routine questions; maintain professional communication with agents; and help create an organized, supportive, and professional team environment.
Meetings, Training & Events
Assist with weekly business meetings, agent training, licensing sessions, workshops, Business Opportunity Meetings, and special events. Responsibilities may include coordinating attendance and logistics, preparing materials, communicating with participants, and providing administrative and operational support before, during, and after events.
