About the Role

We are seeking a highly organized and detail-oriented Construction Project Coordinator / Billing Administrator to support the daily operations of our construction projects.

This position plays an important role in keeping projects organized, supporting field and project management teams, coordinating customer communication, processing payroll information, and ensuring invoices are accurate and submitted on time.

The ideal candidate is a reliable self-starter who is comfortable working with numbers, paperwork, people, and deadlines in a fast-paced construction environment.

What You'll Do

Project Coordination

Coordinate communication between field crews, supervisors, project managers, clients, vendors, and office staff.
Assist with scheduling, project tracking, and follow-up.
Maintain accurate project files, contracts, work orders, change orders, permits, and job documentation.
Track project progress, deadlines, and outstanding items.
Provide administrative support to project managers and operations leadership.

Billing & Invoicing

Prepare and process customer invoices for completed work and project milestones.
Review work orders, contracts, timecards, and field reports to ensure accurate billing.
Track labor, materials, equipment, subcontractor costs, and other billable expenses.
Follow up on missing documentation needed for billing.
Assist with invoice questions, discrepancies, and accounts receivable follow-up.

Payroll & Timekeeping

Review employee timecards and digital time entries for accuracy.
Verify hours worked, overtime, travel time, per diem, and job assignments.
Work with supervisors to resolve missing or inaccurate time entries.
Submit payroll information accurately and on schedule.
Track labor hours by project for billing and job costing.

Administrative Support

Respond to calls and emails from customers, employees, vendors, and internal teams.
Maintain spreadsheets, reports, project logs, and company records.
Enter information into accounting, payroll, and project management systems.
Assist with purchase orders, vendor invoices, subcontractor documentation, and material receipts.
Maintain confidential payroll and financial information.

What We're Looking For

2+ years of experience in construction administration, project coordination, billing, accounting, or a related field preferred.
Strong organizational and time-management skills.
Excellent attention to detail and accuracy with numbers.
Strong written and verbal communication skills.
Ability to manage multiple priorities and meet deadlines.
Comfortable communicating with field employees, clients, vendors, and management.
Working knowledge of Microsoft Excel, Word, and Outlook.
Familiarity with construction terminology, work orders, change orders, and job costing.
Experience with payroll, invoicing, accounts receivable, or project billing preferred.
Experience with QuickBooks, Sage, Procore, Foundation, Viewpoint, Buildertrend, or similar software is a plus.
Ability to maintain confidentiality and handle sensitive financial and payroll information.
