About the Role
As our Purchasing Coordinator, you will be responsible for managing the procurement process for luxury residential interior design projects.
You will work directly with our design team, vendors, manufacturers, workrooms, contractors, receiving warehouses, and installers to ensure every product is quoted, ordered, tracked, delivered, and installed accurately and on schedule.
This position plays a critical role in the successful execution of every project. Success requires exceptional organizational skills, attention to detail, strong follow-up, excellent communication, and the ability to manage multiple projects simultaneously.
The ideal candidate has previous experience in luxury residential interior design, residential construction, or remodeling, and understands how procurement directly impacts project execution, schedules, budgets, and the overall client experience.
In addition to procurement responsibilities, this position also supports the daily operations of the office by assisting with front desk responsibilities and providing a professional, welcoming experience for clients, vendors, and visitors.

Key Responsibilities
Procurement
* Prepare and manage quotations for furniture, lighting, plumbing fixtures, decorative accessories, custom millwork, window treatments, wallcoverings, stone, tile, appliances, and specialty materials.
* Request pricing, lead times, finish samples, and technical specifications from vendors and manufacturers.
* Compare quotations and recommend purchasing decisions based on quality, budget, and lead times.
* Generate, review, and process purchase orders with absolute accuracy.
* Review all vendor acknowledgements for specifications, finishes, dimensions, quantities, pricing, freight charges, shipping addresses, and estimated lead times.
* Coordinate deposits and vendor payments with the Accounting department.
* Track every purchase order from approval through manufacturing, shipping, receiving, and final installation.
* Maintain detailed procurement logs and provide weekly purchasing updates for each active project.
* Proactively communicate with vendors regarding production schedules and resolve delays before they affect project timelines.
* Coordinate deliveries with receiving warehouses, white-glove delivery companies, installers, contractors, and project managers.
* Coordinate replacements, warranty claims, repairs, and damage resolutions.
* Maintain organized digital records of quotations, purchase orders, invoices, acknowledgements, warranties, tracking information, and installation schedules.
* Upload procurement documentation into the firm’s project management system.
* Support project installations by ensuring all products have arrived complete, inspected, and ready before installation day.
Design Support
* Assist the design team with sourcing furniture, lighting, finishes, plumbing fixtures, decorative materials, and custom products.
* Order and track finish samples and material mock-ups.
* Coordinate sample returns when required.
* Work closely with the design team to ensure every product aligns with the approved design intent.
* Participate in weekly project meetings and provide procurement updates.
* Research new vendors, manufacturers, artisans, and luxury resources to continually expand the firm’s supplier network.
Front Desk & Office Support
* Serve as the first point of contact for clients, vendors, and visitors.
* Answer and direct incoming phone calls and emails professionally.
* Welcome guests and maintain a polished, professional office environment.
* Coordinate appointments, deliveries, and general office logistics.
* Assist with administrative tasks that support the daily operations of the studio.

Qualifications
Required
* Previous experience in luxury residential interior design, residential construction, or remodeling.
* Portuguese proficiency
* Excellent organizational and time management skills.
* Strong written and verbal communication skills.
* Ability to manage multiple projects simultaneously.
* Exceptional attention to detail.
* Strong problem-solving skills.
* Professional, polished, and client-oriented demeanor.
* Ability to work independently while collaborating closely with the team.
Preferred
* Degree in Architecture or Interior Design.
* Experience with luxury residential projects.
* Experience working with premium manufacturers and luxury showrooms.
