Full Job Description

At Hyppo, LLC, we create handcrafted ice cream and gourmet ice pops that bring joy to guests across over 20 locations throughout Florida. While our stores are customer-facing, our success depends on a strong support team behind the scenes.

We're looking for an exceptionally organized, proactive Company Administrator who thrives on keeping things running smoothly. This role is perfect for someone who loves creating order, staying ahead of deadlines, solving problems, and supporting a growing business.

You'll be the person who ensures our stores stay compliant, our insurance stays current, our executive team stays organized, and our office runs efficiently. If you're someone who takes pride in never letting the details slip through the cracks, we'd love to meet you.

What You'll Do:

Insurance & Risk Management

Manage employee health insurance enrollments, changes, and annual open enrollment
Coordinate general liability, workers' compensation, and commercial auto insurance
Process certificates of insurance (COIs), claims, audits, and policy renewals
Serve as the primary point of contact for all company insurance matters

Licensing, Permits & Compliance

Maintain all state and local business licenses and permits
Coordinate new store permitting and inspections
Manage Business Tax Receipts across multiple municipalities
Renew Florida resale certificates and maintain vehicle registrations
Track important lease dates and compliance requirements

Compliance & Corporate Administration

Own and maintain the company's master compliance calendar
Ensure permits, licenses, insurance, tax filings, and corporate filings are completed well before deadlines
Maintain organized digital records for all compliance documentation
Coordinate property tax filings and other recurring business requirements

HR & Employee Administration

Coordinate new hire administrative onboarding
Assist with employee records and benefits administration
Support HR-related administrative processes

Office Operations

Answer and direct incoming phone calls with warmth and professionalism
Manage shared company email inboxes
Maintain vendor accounts, software subscriptions, utilities, internet, and phone services
Help keep the corporate office running efficiently each day

Executive Support

Manage calendars and scheduling for the leadership team
Coordinate meetings and administrative projects
Provide day-to-day support that allows leadership to stay focused on growing the business

Required Qualifications:

3+ years of experience in office administration, executive support, business operations, or a similar role
Outstanding organizational skills with exceptional attention to detail
Proven ability to independently manage multiple recurring deadlines and priorities
Strong written and verbal communication skills
Professional, friendly, and service-oriented demeanor
Ability to handle confidential information with discretion
Strong proficiency with Microsoft Office, Google Workspace, and standard office technology
Self-motivated with the ability to work independently and take ownership of responsibilities

Preferred Qualifications:

Experience with business licensing, permitting, or regulatory compliance
Familiarity with Florida business requirements, including DBPR, Department of Agriculture, Business Tax Receipts, and resale certificates
HR administration or employee benefits experience
Experience supporting executives
Multi-location retail or restaurant experience

Within your first 90 days, you'll have:

Built and organized a comprehensive compliance calendar
Verified that all permits, licenses, insurance, and registrations are current
Established smooth processes for office communications and executive scheduling

By the end of your first year, you'll have:

Maintained zero missed compliance deadlines
Created reliable systems that keep the business running proactively—not reactively
Streamlined administrative onboarding and office operations
Become a trusted resource for our leadership team
