Position Title: Sales Coordinator

Reports To: Sales Manager

Location: 65500 Lincoln Street, Mecca, CA

About Us: Bagdasarian Services LLC is a family of agricultural companies situated in the picturesque Coachella Valley in Southeast California. We cultivate a diverse range of conventional and organic citrus across over 4,500 acres of farm ground. Our operations include two citrus packing houses, dedicated to packing our own produce and serving local growers. As proud members of Sunkist, a Cooperative of Growers, we are committed to maintaining the highest standards of quality across all facets of our work.

Position Overview: The Sales Coordinator plays a crucial role in our grower and sales department by providing comprehensive administrative support and managing day-to-day customer interactions. This position requires a proactive and detail-oriented individual who thrives in a fast-paced environment. The Sales Coordinator will ensure seamless operations and contribute to the success of the grower and sales team by handling various tasks related to order processing, documentation, and reporting.

Responsibilities:

Customer Interaction:

Answer incoming phone calls and emails professionally, addressing customer inquiries, concerns, and requests in a timely manner.
Serve as the primary point of contact for customers, providing exceptional service and support throughout the sales process.

Order Management:

Ensure all orders are booked as timely as possible.
Constant monitoring of emails making sure orders and messages are not missed and handled in a timely manner.
Manage orders across multiple customer platforms (e.g., Prophet and Famous) to ensure no orders are missed.
Accurately enter and track new sales orders for customers, ensuring all order details are correct and complete.
Create and process phytosanitary certificates required for export orders, ensuring compliance with regulatory and company standards.

Documentation and Reporting:

Develop, maintain, and analyze various reports for management, including but not limited to Receiving Reports, Bin Summary, Grower Packout, Grower Projected Return, and Utilization.
Ensure that all reports are accurate, timely, and reflective of current data and trends.
Maintain and update Sunkist Grower Contracts and related databases to ensure data integrity and accessibility.
Prepare and distribute weekly invoices for Custom Packers
Prepare and distribute daily and weekly harvest reports, ensuring accurate tracking of harvested volumes, ranch activity, grower information, and fruit movement
Coordinate with the Field Operations Manager to facilitate the movement of bulk citrus from field locations to packinghouses, ensuring timely communication and submission of required notifications to the appropriate county agricultural agencies.

Software Utilization:

Acquire and continually enhance proficiency in the Sunkist software platform, Prophet, to effectively perform job duties and contribute to process improvements.
Participate in training sessions and stay updated with software updates and best practices.

Project Support:

Support the COO and sales team with special projects and administrative tasks.
Collaborate with cross-functional teams to support operational projects.

Quality Assurance:

Monitor and evaluate customer satisfaction related to order processing and communication, identifying areas for improvement and implementing solutions.
Conduct periodic reviews of processes and documentation to ensure accuracy and compliance with company standards.

Qualifications:

Minimum 3-5 years experience in agriculture, sales administration or office administration.
Prior experience in agriculture or a related field is advantageous.
Experience in a sales support role or similar administrative position preferred.
Exceptional professional phone etiquette and strong verbal and written communication skills.
Ability to clearly convey information and provide excellent customer service.
Demonstrated ability to multitask, prioritize, and manage time effectively in a fast-paced environment.
Keen attention to detail with a commitment to accuracy and quality.
Bilingual in Spanish and English.
Proficiency in Microsoft Excel, including Pivot Tables, XLOOKUP/VLOOKUP, IF and SUMIFS formulas, filtering and sorting large datasets, and creating reports. Ability to analyze data and maintain accurate spreadsheets is required.

Pay: $24.00 - $26.00 per hour
