Full Job Description

Client Intake & Scheduling Coordinator
Estate Planning Firm

This is not a typical front desk role. You will be responsible for converting inbound inquiries into scheduled consultations AND ensuring every client is properly set up for a seamless, high-end experience.

Overview

Primary Responsibilities

* Answer and convert inbound calls into scheduled consultations

* Control and manage attorney calendars with precision (no gaps, no conflicts)

* Create and prepare complete client meeting files prior to each appointment

* Ensure all required documents and information are collected in advance

* Execute follow-through on all client communications and internal tasks

* Coordinate with legal team to ensure smooth handoff from intake to service

* Maintain accuracy in client data entry and scheduling systems

What You’ll Do

- Answer inbound calls and guide prospective clients to schedule consultations
- Deliver a warm, professional, and reassuring first impression
- Manage attorney and paralegal calendars with precision
- Greet in-office clients with a polished, business-professional presence - Refresh room after each meeting - Prepare meeting files for attorneys and paralegals
- Follow up consistently with prospective clients who have not yet scheduled
- Coordinate internally using firm systems (Clio, Asana, etc.)
- Handle front desk and administrative support (mail, scanning, payments)

Performance Expectations

- Target: 8 consultations scheduled per week per attorney / paralegal
- Consistent follow-up on all unbooked leads
- Zero dropped inquiries
- Accurate and well-managed calendars

Who This Role Is NOT a fit if You

- Prefer a slow-paced environment - Those who treat this as a passive front desk role
- Need constant direction or reminders
- Struggle with organization, time management, attention to detail or technology
- Are uncomfortable guiding conversations with prospective clients, and taking ownership of outcomes

Qualifications

- 1–3+ years in a client-facing role (intake, sales, or service, law firm experience preferred)
- Calendar management - Strong communication skills (phone, email, in-person)
- High level of organization and follow-through
- Comfortable learning and using software systems (CRM or legal software, Clio a plus)
- Professional appearance and in-office presence required

Compensation & Schedule

Hourly: $22–$25/hour (based on experience)
Bonus: Tiered monthly bonus based on consultations scheduled (top performers earn significantly more)
Full-time, in-office
Standard business hours
