Inclusive Pelvic Wellness is growing, and we’re looking for a Patient Care Coordinator to become one of the foundational members of our new Palm Desert location.
This is more than scheduling appointments or working a front desk.
You’ll help create the experience patients have from the moment they first reach out. You’ll answer questions, help new patients take the next step, coordinate schedules and insurance, support the day-to-day flow of the practice, and make sure every person who contacts us feels heard and cared for.
We’re looking for someone who brings warmth, organization, confidence, and excellent customer service to every interaction.
This role will begin part-time, Monday through Friday from approximately 8:00 AM to 12:00 PM, with a combination of in-person and work-from-home responsibilities based on the needs of the clinic.
As Inclusive Pelvic Wellness continues to grow, this position is expected to progress into a full-time, Monday through Friday role in 2027, creating an exciting opportunity to grow alongside the practice.

Patients may be reaching out because they are experiencing pain, changes following pregnancy or surgery, difficulty participating in activities they love, or concerns they may feel nervous discussing.
Your job is to make that first interaction easier.
You’ll help patients understand what happens next, keep communication clear, make scheduling simple, and create an organized experience from the first phone call through follow-up care.
You will also work closely with the clinic owner as the practice grows, meaning your ideas, initiative, and contributions will genuinely matter.

What You’ll Do
Patient Communication & Lead Conversion
- Respond warmly and promptly to new patient calls, emails, inquiries, and referrals.
- Help prospective patients understand the next steps in getting started.
- Follow up with patient leads and convert appropriate inquiries into scheduled evaluations.
- Answer questions with confidence, compassion, and professionalism.
- Build relationships that help patients feel comfortable and supported from their first interaction.
Scheduling & Patient Coordination
- Schedule evaluations, follow-up appointments, and ongoing patient visits.
- Manage the clinic calendar and help maintain a strong, organized schedule.
- Confirm appointments and follow up with patients when needed.
- Help reduce cancellations and keep patients engaged in their recommended care.
- Communicate scheduling changes clearly with patients and the clinical team.
Insurance, Authorizations & Billing Support
- Verify insurance benefits and patient eligibility.
- Assist with obtaining insurance authorizations when required.
- Help patients understand coverage, copays, deductibles, and other financial responsibilities.
- Support billing and collections processes.
- Collect and document patient payments accurately and professionally.
Front Office & Administrative Support
- Welcome and check in patients during in-person clinic hours.
- Maintain accurate patient information and documentation in Jane App EMR.
- Keep electronic patient records organized and up to date.
- Assist with administrative projects and day-to-day practice operations.
- Help create an organized, welcoming environment for patients and the clinical team.
Marketing & Practice Growth
Because this is a growing small business, you’ll also have opportunities to expand beyond traditional front-office responsibilities.
Depending on clinic needs and your interests, you may assist with:
- Patient outreach and follow-up.
- Email communication.
- Social media and marketing support.

You’re a Great Fit If You:
- Have 1 to 2+ years of healthcare front office, Patient Care Coordinator, medical scheduling, or similar experience.
- Have previous healthcare or medical office experience.
- Have experience with medical scheduling, insurance verification, authorizations, billing support, or patient collections.
- Are comfortable communicating with patients over the phone, email, and in person.
- Have strong customer service skills and genuinely enjoy helping people.
- Can communicate sensitive or complicated information with patience and professionalism.
- Stay organized while managing multiple priorities.
- Are comfortable learning new systems and technology.
- Have experience with Jane App EMR, or are confident learning a new EMR system.
- Are comfortable following up with prospective patients and helping them schedule care.
- Are willing to participate in proven sales and communication training to improve lead conversion and patient scheduling.
- Enjoy working independently while also being part of a collaborative team.
- Want to grow with a small practice rather than simply fill a front-desk position.
What’s In It for You
Pay: $20 to $24 per hour, based on experience.
Starting Schedule: Part-time, Monday through Friday, approximately 8:00 AM to 12:00 PM.
Future Growth: Expected progression into a full-time, Monday through Friday, approximately 8:00 AM to 5:00 PM position beginning in 2027 as the clinic grows.
Work Setting: Hybrid. The position will include both in-person clinic responsibilities and work-from-home hours. The exact balance may vary based on clinic volume and seasonal needs.
